Overview

A permanent full-time position is available for an Accounts Processing Assistant within the Accounts Payable team of the Financial Services department. This role is based at the Civic Centre and involves processing payments in both Accounts Payable and Accounts Receivable areas.

Responsibilities

  • Provide customer service by delivering information and referrals related to municipal and customer accounts via phone, written correspondence, or in person
  • Maintain computerized databases and spreadsheets; interface with software to facilitate payments and update financial systems with account details
  • Manage applications, research information, review and process payments, and maintain filing systems in both paper and electronic formats to ensure compliance with relevant legislation
  • Assist with the development of policies and procedures while adhering to legislative requirements
  • Perform general office duties involving confidential material within a team environment

Accounts Receivable duties include:

  • Process, collect, and manage payments for accounts receivable and property taxes, including current and delinquent accounts
  • Set up payment plans for tax accounts, community improvement loans, and cemeteries; issue Interment Rights Certificates; negotiate payment agreements and monitor adherence
  • Issue monthly statements and recommend actions for delinquent accounts and interest write-offs
  • Prepare, complete, and register legal documents for tax sale proceedings in compliance with the Municipal Act
  • Count and summarize parking and transit revenues
  • Code invoices and payment requisitions for refunds and operational expenses

Accounts Payable duties include:

  • Utilize Optical Character Recognition (OCR) software to read and interpret invoice details
  • Receive, sort, and prepare invoices for upload into invoice automation software; process electronic supplier invoices and payment requisitions
  • Maintain vendor files with accurate information
  • Ensure accuracy of tax codes, due dates, and invoice details for vendor invoices, payment requisitions, and petty cash requests
  • Reconcile accounts and statements from internal and external sources

Requirements

  • College certificate or diploma, preferably in an Accounting program
  • Six months to two years of related experience
  • Working knowledge of accounting practices and concepts in a municipal environment and HST regulations
  • Preferred experience in collections, cash handling, and payment processing
  • Customer service experience with internal and external clients
  • Proficiency with software such as JD Edwards, Scanman, XplorRecreation, CentralSquare Property Tax, or similar
  • Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook) or equivalent
  • Strong verbal and written communication skills

Preferred Qualifications

  • Understanding of cemeteries and community improvement loans
  • Experience with provincial legislation related to collections and bankruptcies
  • Municipal Tax Administration Program Certificate

Additional Information

  • This position is approved for remote work at the supervisor's discretion, with occasional on-site attendance required
  • Flexibility to attend on-site meetings or work locations on short notice is necessary
  • A valid Province of Ontario driver's license and reliable vehicle are preferred due to potential travel requirements
  • Successful candidates must provide a Police Information Search (criminal reference check) prior to employment

Physical Requirements

  • Frequent walking on level surfaces
  • Constant sitting in an office chair
  • Frequent reaching above and below shoulder level; handling items up to 10 lbs
  • Constant fine finger dexterity and computer mouse use

Compensation and Benefits

  • Annual salary range: $65,690 to $74,288
