Overview
The Assistant Controller supports the Controller in managing day-to-day accounting operations, executing month-end close processes, preparing financial reports, and maintaining internal controls. This role ensures accurate, timely, and well-documented close deliverables, oversees accounts payable and cash disbursement processes, and collaborates cross-functionally with departments such as HR, IT, Legal, and Operations to resolve issues and prevent disruptions to close and reporting timelines.
Responsibilities
Accounting Operations, Close & Reporting Readiness
- Manage assigned month-end close activities according to the close calendar, ensuring deliverables are complete, accurate, and supported (reconciliations, journal entries, flux explanations).
- Maintain an accurate open-items list during close, tracking reasons for open items, dependencies, target resolution dates, and escalation plans.
- Ensure quality and self-review to minimize rework; verify entries and reconciliations are review-ready before submission.
- Collaborate with FP&A and Finance leadership to support recurring reporting needs, including preparation of schedules and analyses for monthly reviews.
- Coordinate cross-functional close dependencies (e.g., HR/Payroll, IT, Operations) and proactively identify timing or data risks that could impact close.
- Support external audit and review requests by preparing schedules, responding promptly, and providing complete, organized supporting documentation.
- Utilize and maintain close management tools (e.g., FloQast) to keep tasks current, attach support, and reinforce standard work and cadence across the team.
Accounts Payable, Cash Disbursements & Stakeholder Communication
- Lead a predictable weekly or bi-weekly payment cycle, including check run preparation, completeness checks, and documented holds versus pay decisions.
- Ensure an audit-ready approval trail for payments, including verification of critical payment details such as wire instructions.
- Monitor aging and stalled items (e.g., approvals in workflow tools) and proactively follow up and escalate to prevent late payments and downstream impacts.
- Respond to internal and external inquiries (auditors, vendors, banks, consultants) with timely acknowledgment and clear next steps; drive issues to closure efficiently.
- Partner with Procurement/Operations and AP resources to maintain vendor setup integrity, resolve exceptions, and improve AP process controls and cycle time.
Internal Controls, Documentation & Continuous Improvement
- Support the design and execution of internal controls over financial reporting by maintaining clear documentation and retaining complete evidence for key controls.
- Perform control-related reviews and reconciliations as assigned; identify gaps and recommend pragmatic remediation steps.
- Maintain strong document hygiene with clear file names, organized support, and retrievable workpapers to ensure audit readiness and efficient collaboration.
- Drive continuous improvement by standardizing templates, checklists, and approval cadences to reduce rework and improve cycle times.
Other Duties
- Perform other job-related duties as assigned to support the team and business needs.
