Overview
An international law firm with offices across the United States, Europe, Asia, and the Middle East is seeking a Billing Specialist. This role reports to the Billing Manager and Billing Supervisor and offers full remote work capabilities. Candidates must reside in one of the following states: California, Texas, Washington, DC, Maryland, Virginia, Pennsylvania, New York, New Jersey, Massachusetts, Illinois, or Connecticut.
Responsibilities
- Prepare monthly prebills for distribution to attorneys
- Audit prebills to ensure accuracy of rates and special arrangements; enter approved timekeepers in Aderant
- Revalue rates on prebills as needed
- Manage Bill Groups in Aderant to ensure client contact and currency accuracy
- Manage Bill Formats in Aderant to meet partner and client invoice requirements
- Edit, prepare, and review finalized monthly prebills for accuracy prior to posting
- Process and monitor the e-billing process, including managing new timekeeper/rate approvals
- Confirm synchronization between Bill Distribution Method in Aderant and BillBlast to prevent e-billing errors
- Ensure invoices are successfully submitted and include supporting documents as required by clients
- Research e-billing rejections, handle appeals, short pays, and client payment disputes promptly
- Verify daily new business memos and ensure correct input of information and special billing arrangements
- Communicate with attorneys and secretaries regarding billing questions and report requests
- Handle incoming and outgoing accounting correspondence timely
- Prepare Accounts Receivable write-offs according to firm policy
- Meet monthly with partners to discuss Work In Progress (WIP) and Accounts Receivable (AR) inventory and advise on potential issues
- Monitor local monthly billable WIP and report status to management
- Assist cash receipts team in identifying payment allocations when instructions are missing or inaccurate
- Coordinate annual rate setting process for assigned partners and clients
- Assist in transitioning matters handled by departing attorneys and facilitate closing inactive matters
- Assist with various time and billing reports as needed
- Perform other duties as assigned
Requirements
- Two-year degree required; four-year college degree preferred, ideally with specialization in accounting or finance
- Minimum of 2 years of law firm billing experience
- Strong proficiency in Microsoft Office applications, including Word and Outlook
- Advanced proficiency in Microsoft Excel
- Excellent oral and written communication skills

Compensation & Benefits
- Anticipated base salary range in California: $75,000 to $95,000, depending on location and other factors such as education, qualifications, experience, certifications, job-related knowledge, business needs, and work location
- Total compensation package may include health and other insurance benefits, financial benefits including 401(k) eligibility, discretionary bonuses, and various paid time off benefits
