Overview

The organization is seeking an experienced Bookkeeper/Data Entry Specialist to manage accurate financial records and support ongoing operations. This role involves working in QuickBooks Online to ensure financial data remains precise, up to date, and compliant with applicable regulations. The position also requires strong organization, attention to detail, and the ability to coordinate with management on financial matters.

Responsibilities

  • Process accounts payable, accounts receivable, receipts, and related transactions daily to ensure timely and accurate records.
  • Review and reconcile bank and credit card statements monthly to verify accuracy and identify discrepancies.
  • Create and maintain detailed spreadsheets in Excel or Google Sheets to track financial data, budgets, and other relevant information.
  • Generate invoices for jobs and monitor payments weekly to support timely collection and proper recordkeeping.
  • Prepare basic financial reports and records to support management decision-making and financial analysis.
  • Answer incoming phone calls and greet visitors professionally.
  • File and prepare 1099 forms at year end to ensure compliance with IRS regulations.
  • Manage and file sales tax reports quarterly or annually as required by local and state authorities.
  • Coordinate directly with company owners on financial matters, providing accurate data and insights.
  • Assist with social media marketing efforts as a plus, leveraging relevant experience to enhance the organization’s online presence.

Requirements

  • Prior experience as a Data Entry/Bookkeeper with proficiency in QuickBooks.
  • Highly proficient in QuickBooks.
  • Proficiency with Microsoft Excel and Google Sheets.
  • Proficiency with Word.
  • Basic accounting practices.
  • Strong mathematical and analytical skills to process financial data and identify discrepancies.
  • Excellent attention to detail, time management, and communication skills.
  • Dependability and self-motivation.
  • Ability to multitask effectively under pressure.
  • Construction or manufacturing industry background is advantageous but not mandatory.
  • Must demonstrate a proactive approach to problem-solving and a strong commitment to accuracy and professionalism.
