Overview
A full-service contract research organization (CRO) specializing in clinical research services for pharmaceutical, biotechnology, and medical device industries is seeking a Manager, Site Payments. The organization has a strong foundation in statistical and data management and operates globally with headquarters in Markham, Ontario, Canada, and additional sites in New Jersey, USA, Shanghai, China, and Taipei, Taiwan.
Responsibilities
- Oversee the operational execution of investigator site payments across assigned clinical trials.
- Manage the end-to-end site payment process ensuring alignment with approved study budgets and site agreements.
- Monitor and track payment status to ensure timely issuance according to contractual timelines.
- Investigate and resolve payment discrepancies, delays, or site inquiries.
- Serve as a point of contact for payment-related inquiries from internal teams and sponsor representatives.
- Collaborate with Site Contracts & Budgets team to ensure financial terms in site agreements are accurately reflected in payment systems.
- Configure payment schedules and milestones in investigator payment systems (e.g., Medidata Payments).
- Validate budget parameters prior to payment activation.
- Supervise and mentor Site Payment Specialists, assign workloads, monitor productivity, and provide training.
- Conduct performance reviews and support professional development of team members.
- Collaborate cross-functionally with Clinical Operations, Data Management, Project Management, Corporate Finance, and Site Contracts & Budgets teams.
- Manage daily use of site payment platforms and identify opportunities for process improvement, automation, and enhanced reporting.
- Support system testing, updates, and implementation of new technologies.
- Ensure compliance with contractual obligations, sponsor requirements, financial and regulatory guidelines.
- Support internal and external audits related to site payments.
- Maintain accurate documentation of payment approvals and financial records.
- Support timely and accurate financial accrual reporting on a monthly basis.
- Ensure cash availability for payment processing and negotiate cash advances with sponsors.
Qualifications
- Bachelor’s degree in Finance, Accounting, Business Administration, Life Sciences, or related field.
- 5-7 years of experience in clinical research, clinical finance, or investigator payment operations.
- Experience within a CRO, pharmaceutical, or biotech organization.
- Experience managing clinical trial site payments in global studies.
- Prior team leadership or supervisory experience.
- Proven experience with clinical trial payment and financial systems, such as Medidata Payments.
- Advanced proficiency in Microsoft Excel.
- Strong data analysis and reporting skills.
- Knowledge of site payment regulations (e.g., Sunshine Act, GDPR).

- Estimated salary range: $150,000 - $175,000.
