Overview
This role supports nonprofit financial operations by maintaining accurate day-to-day accounting records and assisting with compliant, timely grant administration.
Responsibilities
- Maintain accurate bookkeeping records for a nonprofit organization, including accounts payable (AP), accounts receivable (AR), reimbursements, expense report management, and routine reconciliations.
- Keep financial systems and records organized and compliant, including vendor files, grant files, receipts, contracts, invoices, payroll-related documentation, and other compliance materials.
- Code revenue and expense transactions to ensure accurate financial records and reporting.
- Support monthly and year-end close processes by preparing documentation, reconciling accounts, organizing backup materials, and helping ensure financial records are audit-ready.
- Prepare and support financial reports to ensure they are timely and accurate.
- Support grant administration from pre-award through closeout, including:
- Communicating with prospective grantees
- Reviewing applications
- Obtaining required compliance documentation
- Tracking reporting deadlines
- Reviewing reports
- Ensuring grantee compliance
- Coordinate with program, development, and operations teams to gather grant-related financial information, clarify budget needs, and support responsible stewardship of restricted and unrestricted funds.
- Improve finance and grants administration workflows by documenting processes, identifying gaps, and recommending practical improvements that reduce errors and increase transparency.
- Support compliance with nonprofit accounting standards, internal controls, grant requirements, organizational policies, and applicable federal, state, and local regulations.
Requirements
- Experience with nonprofit bookkeeping, accounting operations, or financial administration.
- Experience with Sage Intacct, BILL AP/AR, Bill Spend & Expense, and internal/project management tools like Notion and Slack (ensure this experience is visible on your resume).
- Strong preference for experience with grant reporting and funder compliance, including experience with federal, state, foundation, and restricted grant reporting.
- Experience with nonprofit audits, Form 990 preparation, and fiscal year-end close.
- Understanding of nonprofit-specific accounting concepts, including fund-based accounting, grant budgets, expense coding, and audit documentation.
- Understanding of double-entry bookkeeping (debits, credits) and basic cash or accrual accounting methods.
- Experience working with accounting systems, spreadsheets, shared files, and financial documentation.
- Preferred: experience working with outsourced accounting partners, auditors, payroll providers and/or finance consultants.
- Strong organizational skills and ability to manage recurring deadlines.

- Clear written and verbal communication skills.
- Ability to handle confidential financial and personnel information with discretion.
- Commitment to accuracy, accountability, and collaborative problem-solving.

- Full-time, Salaried, Exempt position: $65k–80k

- Must have a suitable workspace with secure internet and reliable phone reception.
- Must be available during standard business hours (9:00 AM–5:00 PM your local time, Monday through Friday). The exact schedule may be arranged upon hire.
