Overview

A leading provider of high-quality battery technology and power management solutions is seeking a Logistics and Order Management Specialist. The organization develops and supplies premium products to major manufacturers worldwide in medical, test & measurement, military, and robotics industries, with over 30 years of dynamic growth.

Responsibilities

  • Manage operational order processing from receipt through invoicing, including coordination of Return Material Authorizations (RMAs).
  • Track accounts receivable (A/R) balances to ensure timely payments; maintain A/R aging summaries and apply payments using QuickBooks.
  • Schedule payments for approved accounts payable (A/P) invoices; maintain A/P aging summaries and records in QuickBooks.
  • Post employee-approved expenses in QuickBooks.
  • Prepare weekly and monthly bookkeeping reports based on bank data and reconciliations.
  • Perform month-end reconciliations with A/P in QuickBooks and A/R reports with the German headquarters.
  • Maintain and reconcile month-end inventory records in QuickBooks against warehouse data.
  • Prepare monthly cash flow forecast reports.
  • Conduct monthly bank reconciliations and review all monthly transactions for accuracy.
  • Finalize month-end bookkeeping and prepare monthly financial statements and general ledger.
  • Assist distributor base with inventory management of products.
  • Manage Point of Sale (POS) reports from distributors.
  • Coordinate, organize, and control cross-company delivery processes.
  • Ensure receipt of all relevant shipping requirement information.
  • Work with local and international freight forwarders to monitor timely import shipments to the United States from manufacturing plants.
  • Create order-related shipping documents, including dangerous goods handling and customs documentation for international partners; organize transport with external logistics partners.
  • Manage transportation cost controls for freight import and export requirements.
  • Support the sales team with customer-related operational concerns as needed.
  • Coordinate with customers and internal headquarters for production planning, purchasing, and warehousing.
  • Continuously track and implement legal changes and regulations concerning customs and foreign trade.

Requirements

  • Ability to accurately understand and process shipping specifications.
  • Proficiency in preparing order-related shipping documents for import and export.
  • Familiarity with regulations regarding recycling of hazardous goods, including electronic products and lithium batteries.
  • Knowledge of customs and foreign trade regulations across U.S. states and Canadian provinces.
  • Proven experience with importing dangerous goods.
  • Experience preparing shipping documents and managing RMAs.
  • Ability to maintain cost controls and efficiency by obtaining quotes from transport and brokerage partners.
  • Detail-oriented to ensure accuracy in pricing, tariffs, shipping modes, and lead times.
  • Ability to collaborate with international teams to improve logistics planning processes.
  • Strong conceptual, analytical, operational, and problem-solving skills.
  • Understanding and ability to document A/R and A/P transactions.
  • Monthly accounting reporting skills.
  • Experience with QuickBooks preferred.

Location

This role involves coordination with international teams and may require interaction with headquarters in Germany and distributors in the United States and Canada.
