Overview

This role involves managing multi-state payroll processing with a focus on accuracy, compliance, and process improvement. The Payroll Specialist will handle payroll computations, tax compliance, audits, and system configurations, while collaborating closely with HR and finance teams.

Must be eligible to work in the United States without requiring work visa or residency sponsorship.

Responsibilities

  • Independently manage multi-state payroll activities including wage and overtime calculations, payroll deductions, paycheck advances, bonus runs, commissions, fringe benefit reporting, and separation payments.
  • Oversee all payroll aspects such as processing, tax setup and compliance, payroll configuration within HRIS, reporting, and compliance auditing.
  • Utilize payroll systems such as ADP, PayChex, Paycom, Paylocity, Paycor, and Kronos.
  • Participate in system conversions and implementations related to payroll and time and attendance.
  • Maintain sharp attention to detail and drive process enhancements.
  • Provide exceptional customer service to employees regarding payroll matters.
  • Serve as an extension of the HR team by contributing expertise in tax audits, payroll operations, and the payroll lifecycle.
  • Coordinate 401(k) contribution and HSA submission processes by accurately inputting data into vendor portals.
  • Audit and review benefit deductions, reconciling against election and enrollment information to ensure accuracy.
  • Prepare manual payments when necessary.
  • Ensure compliance with federal, state, and local wage and hour laws.
  • Review timesheets and time off requests, addressing discrepancies.
  • Ensure timely and precise payroll submissions with thorough verification.
  • Proactively resolve discrepancies to maintain program integrity.
  • Identify and recommend improvements in payroll and benefits processes.
  • Collaborate with HR and finance teams to address issues and optimize operations.
  • Keep tax setups compliant and updated with employee changes.
  • Complete monthly and quarterly audits including 401(k), benefits, and payroll.
  • Manage paper mail items related to payroll and forward to appropriate teams.
  • Occasionally assist with generalist HR responsibilities such as benefits administration, onboarding, and offboarding to maintain service levels.
  • Perform other related duties and projects as required.

Requirements

  • 5-7 years of payroll experience in a dedicated payroll function covering multiple states/jurisdictions.
  • Working knowledge of payroll processing, taxes, compliance, and auditing.
  • Demonstrated ability to improve processes and diagnose problems.
  • Experience with Microsoft Office applications including Word, Excel, and PowerPoint.
  • Proven ability to provide quality customer service.
  • Bachelor’s degree in human resources or a related field preferred.

Compensation & Benefits

  • Typical base pay range: $30 to $35 per hour nationwide.
  • Base pay depends on skills, education, qualifications, professional experience, and location.
  • Some roles may be eligible for variable compensation, commission, and/or annual bonuses based on individual and organizational performance.
