Overview

A healthcare laundry service provider based in Pensacola is seeking a detail-oriented Payroll Clerk to join their team. The organization serves healthcare facilities across the Southeast and emphasizes quality, reliability, and compliance in its operations.

Responsibilities

  • Process weekly multi-state payroll for union and non-union employees accurately and on time
  • Interpret and apply union contracts and comply with state-specific wage and hour laws
  • Set up new employee payroll information, update job classifications and pay rates, and manage terminations
  • Track and process employee benefits including vacation accruals, garnishments, and court-ordered deductions
  • Prepare and submit monthly reports for union dues, pension contributions, and insurance premiums (health, dental, life)
  • Review and file quarterly reports such as State Unemployment Insurance (SUI), state withholding, and federal filings including Form 941
  • Generate, reconcile, and report annual W-2 forms
  • Create and maintain Affordable Care Act (ACA) reporting documentation, including 1095 forms
  • Maintain detailed payroll records ensuring compliance with all applicable laws and regulations
  • Collaborate with HR and finance teams to resolve payroll discrepancies and improve processes
  • Stay current on payroll laws and regulations to ensure ongoing compliance

Requirements

  • 3-5 years of full-cycle payroll processing experience, including managing multi-state payroll
  • Proficiency with ADP payroll systems, preferably Workforce Now
  • Strong knowledge of federal, state, and local payroll tax regulations
  • Solid understanding of general accounting principles such as general ledger, debits/credits, and reconciliations
  • High accuracy and attention to detail
  • Excellent skills in Microsoft Excel and other MS Office applications
  • Ability to handle confidential information with integrity
  • Strong organizational and multitasking skills in a fast-paced environment
  • Effective communication skills with a polite yet assertive demeanor
  • Self-motivated and proactive work approach
  • Willingness to work overtime as needed

Preferred Qualifications

  • Bachelor's degree in Accounting, Finance, or related field
  • Experience processing payroll for unionized employees
