Compensation range: $26–$32 per hour
The organization is seeking a Payroll Coordinator and Accounting Assistant to coordinate biweekly payroll and support the accounting team with reconciliations and month-end close activities. This role will help expand day-to-day accounting coverage as the business grows.
Responsibilities
- Coordinate payroll: Review employee hours, earnings, deductions, reimbursements, and approved changes for the biweekly payroll cycle; resolve issues before processing.
- Review timekeeping: Follow up on missing timesheets and approvals; verify project and paid time-off coding; work with employees, project teams, and HR to resolve discrepancies.
- Reconcile payroll: Reconcile Paylocity payroll registers to payroll clearing and general-ledger accounts in Deltek Vantagepoint; research differences and support related journal entries, accruals, taxes, and benefit allocations.
- Support employees and reporting: Respond to payroll questions and prepare recurring payroll, headcount, paid-time-off, and labor-cost reports for Finance, HR, and management.
- Assist with monthly close: Prepare assigned bank, credit-card, payroll, prepaid, accrued expense, and other account reconciliations, journal entries, and supporting schedules.
- Provide general accounting support: Assist with transaction coding, invoice and expense review, payment documentation, vendor records, and related bookkeeping tasks.
- Protect records and controls: Maintain organized documentation, follow approval procedures, and safeguard confidential employee and financial information.
Required Qualifications
- Two or more years of payroll and general accounting experience, including payroll processing, payroll reconciliations, and general-ledger accounting.
- Working knowledge of account reconciliations, journal entries, accruals, and month-end close procedures.
- Strong attention to detail and the ability to identify and resolve discrepancies.
- Strong organizational and time-management skills, with the ability to meet recurring payroll and accounting deadlines.
- Effective communication and interpersonal skills, including the ability to respond professionally to employee questions.
- Proficiency in Microsoft Excel and the ability to work effectively with payroll and accounting systems.
- Ability to maintain confidentiality and exercise sound judgment when handling employee and financial information.
Preferred Qualifications
- Associate’s or bachelor’s degree in Accounting, Finance, Business Administration, or a related field. Equivalent relevant experience will be considered.
- Experience with Paylocity and Deltek Vantagepoint.
- Interest in using approved tools, including AI where appropriate, to improve workflows while protecting confidential information.
