Overview
This role offers an opportunity to join a rapidly growing organization focused on human capital management software. The primary responsibility is to serve as the implementation specialist, acting as the initial point of contact and brand ambassador to new clients. The goal is to facilitate a smooth and accurate transition of clients to cloud-based HCM software by understanding their payroll contacts, data, and practices.
The position requires specialized expertise, strong problem-solving skills, and a disciplined approach to maintaining quality and accuracy. The work pace is fast but quality standards must be upheld. Decision-making is authoritative and aligned with company guidelines.
Responsibilities
- Manage collection and review of new client paperwork to ensure proper format and completion
- Identify and communicate potential errors in client paperwork, escalating as necessary
- Conduct launch calls and send emails to set client expectations
- Analyze new client data for completeness and accuracy
- Apply payroll knowledge to streamline client experience and ensure compliance with payroll best practices, tax regulations (Federal, State, Local), FLSA, and ACA laws
- Schedule and confirm follow-up calls, client training sessions, and initial process/check dates
- Enter new client information into systems following documented procedures
- Collect, enter, and balance previous year-to-date payroll and employee data
- Set up value-added services such as Direct Deposit, Tax Service, PTO, Employee Self-Service, etc.
- Provide client training on software features as needed
- Support clients through their first few payrolls to ensure comfort with the process
- Oversee transition to client services, including hand-off communications with client and customer service representatives
- Collaborate with teammates to maintain positive working relationships
- Participate in special projects and departmental initiatives as requested
- Maintain strict confidentiality of sensitive client data
- Attend annual in-person implementation training bootcamp
Requirements
- Ability to manage multiple implementations simultaneously
- Experience with companies averaging 50-250 employees
- Knowledge of PTO, General Ledger, Wage Parity, Time and Attendance, custom reports, taxation, data extraction/manipulation, and file uploads
- Excellent attention to detail, time management, organization, and prioritization skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Strong project management skills
- Results-oriented with a strong sense of ownership
- Strategic thinker capable of understanding and communicating client requirements and identifying solutions
- Experience troubleshooting and problem-solving
- Ability to handle escalations independently
- Experience managing simultaneous projects involving third-party vendors
Preferred Qualifications
- At least 1 year of experience in payroll or human capital management
- At least 1 year of experience in payroll implementation
- Experience in the healthcare industry and working with unions
