Overview

This role involves owning complex payroll correction and tax notice resolution cases where issues from prior quarters cascade into multiple downstream problems. You will diagnose what broke, determine the correct sequence of fixes, and drive amended filings and agency responses through acceptance.

Responsibilities

  • Diagnose and resolve complex payroll corrections, including:
    • Misclassified wages
    • Wrong tax jurisdictions
    • Missed or mis-keyed setup
    • Retroactive changes
    • Void and reissue scenarios
    • Downstream effects on quarters that have already been filed
  • Prepare and file amended returns, including:
    • 941-X
    • State and local equivalents
    • W-2c
    • Canadian equivalents
    • Follow filings through to agency acceptance
  • Manage tax notices end to end:
    • Research the underlying cause
    • Respond to the agency
    • Negotiate abatements
    • Close the loop with the partner and employer
  • Trace root cause and identify systemic/product or configuration issues versus one-off human error
  • Escalate and communicate effectively between partner-facing support teams and tax operations, including translating resolution details in terms non-payroll experts can repeat to customers
  • Document how cases are solved and help automate repeatable parts by building process alongside casework

Requirements

  • Several years doing corrections, amendments, and notice resolution at a payroll provider (e.g., a bureau, a PEO, or a payroll software company)
    • In-house payroll experience at a single employer, however deep, does not produce the pattern recognition needed for this role
  • Demonstrated fluency across a range of scenarios, including:
    • Multi-state and multi-jurisdiction payroll and tax handling
    • SUI rate changes and retroactive rate corrections
    • Local taxes
    • Agency registrations gone wrong
    • Prior-quarter and prior-year amendments
  • Ability to hold and reason through a broken sequence (e.g., how a Q1 omission can show up as a Q3 notice, a wrong W-2, and a reconciliation break) and decide which thread to pull first
  • Genuine curiosity about AI and process design, including interest in reaching for tools/scripts and contributing to how work is rebuilt
  • Clear writing skills for explaining resolutions to partners who are not payroll experts

Preferred Qualifications

  • CPP or FPC
  • Canadian payroll exposure
  • Experience with MasterTax or similar
  • Experience at a company that owned its own tax engine rather than reselling another provider’s
