Overview

This role reports directly to the Payroll Manager, North America, and involves performing a variety of functions necessary for the accurate and timely processing of weekly and bi-weekly payroll. The Payroll Specialist coordinates, validates, and implements work procedures requiring comprehensive operational knowledge of federal and state regulations related to wage and hour laws, garnishments, taxation, and other payroll deductions. Attention to detail and strong communication skills are essential.

Responsibilities

  • Process multi-state, bi-weekly and weekly payroll for salaried, hourly union, and non-union employees accurately and on time.
  • Handle on-demand payments, retroactive payments, one-time payments, taxable fringe benefits, tax adjustments, and equity-based compensation in compliance with company policies, contracts, and federal and state regulations.
  • Understand tax implications for various employee payments, including benefits and equity-based compensation.
  • Export and reconcile data from the time and attendance system; review and audit timecard data for accuracy.
  • Conduct thorough reviews and audits of payroll registers, timecard data, and third-party payments to ensure accuracy and compliance.
  • Manage stop payments, void checks, direct deposit reversals, and overpayment collections in accordance with policies and regulations.
  • Provide support to employees and management regarding payroll inquiries, demonstrating strong communication and technical skills.
  • Interpret and implement withholding orders such as levies, garnishments, and child support, ensuring compliance with regulatory timelines.
  • Audit HR forms in the HRIS system, including new hire information, terminations, pay-rate changes, and location changes; collaborate with HR and managers to resolve discrepancies.
  • Complete year-end processing and reconciliations, including W-2s and state filings.
  • Ensure compliance with company policies and internal controls.
  • Perform other duties as required.

Requirements

  • 3-5+ years of experience managing multi-state payroll for hourly, salaried, union, and seasonal employees.
  • Strong knowledge of taxable fringe benefits and processing Certified Payroll for State and Federal projects.
  • Experience with Dayforce payroll software.
  • Certified Payroll Professional (CPP) or equivalent certification preferred.
  • In-depth knowledge of federal and state payroll regulations, especially multi-state taxation and garnishments.
  • Familiarity with State Labor laws.
  • Excellent verbal and written communication skills, with the ability to convey information clearly and accurately.
  • Ability to prioritize tasks, meet tight deadlines, and manage internal and external relationships effectively.
  • Ability to handle confidential and sensitive information with diplomacy and tact.
  • Proficiency in Microsoft Office, particularly Excel.
  • Legal authorization to work in the US is required; no visa sponsorship is available for this position.

Compensation & Benefits

  • The expected annual salary range is $65,000 - $75,000.

Location

Preference is given to candidates within a commutable distance to the office located in the greater Philadelphia, PA area. However, fully remote candidates will be considered for the right fit.
