Overview
The Payroll Specialist is responsible for ensuring accurate, timely, and compliant payroll operations for a multi-state workforce. This role also contributes to continuous process improvements and system upgrades related to payroll.
Responsibilities
- Process bi-weekly or semi-monthly payroll for over 1,000 employees across multiple states, ensuring accuracy in wages, benefits, taxes, and deductions.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws.
- Review and audit payroll reports for accuracy and resolve discrepancies.
- Support quarterly and year-end payroll activities, including W-2 preparation and tax filings.
- Manage processing of wage garnishments and remittances.
- Provide timely employee support by responding within 24 hours to payroll-related inquiries or tickets.
- Collaborate with tax teams to ensure proper setup of new local tax locations within the payroll system.
- Assist with quarterly and annual audits, including Workers' Compensation, 401(k), and corporate audits.
- Serve as the payroll point of contact in the absence of the Payroll Manager.
Requirements
- Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources, or a related field, or equivalent experience.
- 2-3+ years of payroll experience administering payroll in a multi-state environment; experience with Puerto Rico payroll is a plus.
- Strong knowledge of federal and state payroll regulations, including tax and reporting requirements.
- Experience with payroll systems such as ADP Workforce Now, Workday, or similar platforms.
- Exceptional attention to detail and accuracy.
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to manage deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite, especially Excel (including XLOOKUP, Pivot Tables).
- Certified Payroll Professional (CPP) certification is a plus.
Compensation & Benefits
- Salary range: $65,000 - $77,000 annually.
