Overview
The organization supports individuals with disabilities, behavioral challenges, medically complex needs, transitioning youth, the elderly, and other populations through targeted case management and support planning models.
The Payroll Specialist will be responsible for processing payroll and maintaining related records, including establishing new codes and tax jurisdictions. This role involves processing involuntary and voluntary deductions, reconciling payroll data, balancing earnings and deduction totals, and preparing tax reports. The specialist will work closely with other departments and external auditors to ensure strong payroll internal controls.
Responsibilities
- Ensure compliance with Generally Accepted Accounting Principles (GAAP)
- Maintain accurate and timely payroll processing for over 900 team members on a bi-weekly basis
- Process mileage reimbursements, tuition reimbursements, student loan payments, payroll changes including retro pay, quarterly bonuses, and off-cycle payrolls
- Provide monthly payroll subledger to support General Ledger imports
- Collect and verify timekeeping information, consulting supervisors on discrepancies
- Record and verify payroll data in payroll software prior to payment transmission
- Reconcile HSA contributions and ensure accurate benefit calculations
- Stay informed on changes in tax and deduction laws affecting payroll
- Review and audit W-2s and other regulatory forms for accuracy
- Maintain proficiency in payroll and timekeeping software through ongoing training
- Prepare reports for accounting and general ledger reconciliation
- Use UKG software to process payroll accurately
- Manage payroll inquiries and resolve errors promptly
- Process tuition reimbursements, student loan payments, and mileage/expense reimbursements
- Collaborate with People & Culture department on payroll-related questions and payments
- Send timesheet reminders, review approvals, and resolve timesheet issues
- Ensure compliance with Department of Labor pay regulations and communicate changes
- Reconcile quarterly and annual payroll tax reports and provide documentation for audits
- Implement and review payroll processing systems to ensure accuracy and timeliness
- Facilitate audits by providing necessary records and documentation
- Participate in process improvement initiatives and update procedures
- Maintain records and prepare information for annual audits
- Contribute to budget development and financial projections
- Meet payroll processing and reporting deadlines
- Prepare management worksheets as needed
- Perform other duties as assigned
Requirements
- Associate degree in accounting or finance required; relevant work experience and/or certifications may substitute
- Certified Payroll Professional (CPP) certification strongly preferred
- 7 to 10 years of experience in full-cycle payroll processing for a large organization
- Minimum 3 years of experience with UKG payroll services
- Experience participating in 403(b) and financial audits
Skills and Competencies
- Extensive knowledge of payroll laws, payroll function, and GAAP
- Strong understanding of general ledger and chart of accounts
- Confidentiality and safeguarding of payroll and personal information
- Knowledge of state and federal wage, tax, garnishment, withholding, and reporting laws
- In-depth knowledge of 403(b) plans and audit requirements
- Advanced proficiency in MS Office Suite, especially Excel
- Excellent interpersonal, communication, organizational, and problem-solving skills
- Ability to manage time and resources effectively under pressure
- Detail-oriented with high learning agility
