Overview
This role is part of the organization’s Payroll Tax Operations team and focuses on ensuring accurate and timely resolution of payroll tax issues across Notices, Corrections, Amendments, and Pay & File processes. You will serve as both a technical resource and a mentor in a high-volume case environment, with significant independence in owning work from intake through closure.
Responsibilities
- Execute full-cycle payroll tax case work for assigned accounts, including processing payroll runs accurately, auditing outputs, managing tax filings and payments, and ensuring compliance across all jurisdictions.
- Independently research and resolve complex State and Federal payroll tax notices (e.g., balance-due notices, deposit discrepancies, SUI rate change notices, and account mismatch notices), owning each case from intake through closure.
- Prepare comprehensive written responses to tax agencies, including supporting documentation, submitted within required deadlines; confirm receipt and track case progress.
- Prepare amended payroll tax returns, including Form 941-X and state equivalents, with responsibility for complex amendments.
- Support payroll correction workflows by identifying error sources, quantifying tax impacts, documenting audit trails, and following through to resolution.
- Manage personal work-in-progress queues by prioritizing cases by SLA, flagging aging cases, and maintaining detailed case documentation from initial contact to closure.
- Perform trend analysis on customer data, system data, and agency correspondence to identify process or system deficiencies and recommend improvements.
- Contribute to the development and updating of Standard Operating Procedures (SOPs) and knowledge base articles by flagging outdated content, suggesting revisions, and documenting solutions.
- Collaborate cross-functionally with Corrections, Amendments, Pay & File, and Tax Notice teams, mentoring less experienced staff and seeking coaching and development opportunities.
Requirements
- 2-3+ years of direct payroll tax experience, with a strong focus on notice resolution, amended return preparation, and payroll error correction across multiple states.
- Solid understanding of IRS and state agency notice types and the ability to interpret and resolve complex issues independently.
- Experience with federal and state payroll tax laws, tax payment and filing regulations, and multi-state payroll compliance.
- Proficiency in payroll platforms and case management systems such as Salesforce.
- Advanced Excel/Google Sheets skills.
- Ability to operate independently in a high-volume case environment.
- Fundamental Payroll Certification (FPC) is mandatory.
- A degree in Accounting, Business, or Finance is preferred, or equivalent experience.
- Certified Payroll Professional (CPP) designation preferred for those with over four years of experience.
- Prior experience in payroll service bureaus, PEOs, or multi-client environments is highly advantageous.
