Overview

A growing apparel company is seeking a Payroll & HRIS Administration Specialist to manage end-to-end payroll operations and HRIS system integration for a multi-state workforce of over 50 retail locations and headquarters staff. This role reports directly to the VP of Finance and involves close collaboration with Finance, HR, and Retail teams.

Responsibilities

  • Oversee semi-monthly payroll processing for exempt and nonexempt employees across multiple states, ensuring accuracy and compliance
  • Serve as the technical expert on payroll regulatory requirements, tax compliance, and reporting at federal, state, and local levels
  • Design, implement, and maintain payroll processes, controls, and infrastructure to support current and future operations
  • Manage payroll system configuration, integration, and reporting customization for platforms including ADP Workforce Now, Deputy, and Lattice
  • Partner with HR, Retail Finance Operations, and external vendors to ensure seamless data flow and system compliance
  • Own vendor relationships with Deputy and ADP, acting as the primary contact for Customer Success Managers
  • Lead automation and optimization initiatives to improve payroll and HRIS efficiency and scalability
  • Collaborate with Retail Field Leadership and Retail Finance to manage retail payroll processes, including timecard uploads, commission and profit share calculations, and PTO monitoring
  • Prepare and administer off-cycle special payroll processes in compliance with state mandates
  • Process wage and position updates, including new hires, pay changes, terminations, and other confidential employee data
  • Conduct root cause analysis on payroll discrepancies and implement corrective actions

Requirements

  • 3-5 years of relevant payroll experience, preferably in a multi-state retail environment
  • Bachelor’s degree or higher
  • Proven experience running payroll in ADP Workforce Now is required
  • Experience with Deputy or similar HRIS/scheduling and timekeeping systems is a major plus
  • Strong knowledge of payroll regulations and tax compliance
  • Excellent communication skills with the ability to handle sensitive and confidential information discreetly
  • HR certification or CPA credentials are a plus

Preferred Qualifications

  • Experience implementing and managing external platform integrations with ADP Workforce Now
  • Track record of identifying and resolving process inefficiencies within payroll platforms
  • Ability to work cross-functionally and build strong vendor relationships
