Overview

The Payroll Specialist is responsible for various payroll processes, including assisting with inquiries related to policies and calculations and serving as an escalation resource for processing. This role supports payroll accuracy through detailed review, reconciliation, and validation of payroll data prior to and after payroll processing. Partners include HR, managers, and employees to resolve payroll issues while maintaining payroll data integrity with payroll and timekeeping systems.

Responsibilities

  • Complete processing of biweekly payroll by managing workflow to ensure payroll transactions are processed timely and accurately
  • Perform routine payroll audits for accuracy and payroll compliance
  • Review timecards for completeness and accuracy prior to payroll processing
  • Validate overtime, premium pay, shift differentials, and on-call pay
  • Respond to payroll inquiries related to pay discrepancies, taxes, and deductions
  • Audit off-cycle checks prior to processing
  • Process special adjustments and corrections
  • Create reports as requested by manager or business partners to support audits
  • Respond to audit requests, internal and external
  • Investigate outstanding unclaimed property and payroll checks
  • Process accurate and timely year-end reporting when necessary (W-2, W-2c, etc.)
  • Document and update payroll procedures and processing checklists
  • Interpret Wage Garnishments and calculate appropriate deductions to be withheld
  • Prepare W-2Cs for employees
  • Post processing report downloads and distribution to various partners
  • Conduct audits before and after processing
  • Educate employees and managers on payroll processes and deadlines

Qualifications

Minimum Qualifications

  • Education: Associate’s degree in accounting or business administration with a focus in accounting
  • Experience: Three (3) years payroll experience with audit or validation responsibilities; experience with California payroll practices in healthcare, union or high-volume payroll environment
  • License/Certification: None

Knowledge, Skills, and Abilities

  • Ability to maintain confidentiality with sensitive information
  • Ability to plan, organize, prioritize, multi-task, and meet deadlines
  • Ability to work effectively with individuals at all levels of the organization
  • Knowledge of intermediate mathematics
  • Knowledge of computer applications related to payroll processing
  • Knowledge of federal and state tax withholding rules and procedures
  • Knowledge of payroll terminology and methods
  • Knowledge of payroll systems and strong Excel skills

Compensation & Benefits

  • Pay Range (Hourly): $39.43 to $49.29
  • Compensation is based on the level and requirements of the role, and may be determined by education, experience, knowledge, skills, location, and abilities, as well as internal equity and alignment with market data.
  • Typically, new team members join at the minimum to mid salary range.
