Overview

The Payroll Specialist ensures accurate and timely processing of employee payroll on a weekly or biweekly basis. This role maintains employee payroll records, manages payroll changes, and responds to employee inquiries related to payroll matters. The position also supports Human Resources with administrative and compliance-related tasks, including prevailing wage and union payroll responsibilities.

Responsibilities

  • Maintain and update employee database accurately and efficiently.
  • Process weekly or biweekly payroll in accordance with company policies and legal requirements.
  • Generate and review payroll reports to ensure accuracy and compliance.
  • Respond promptly to employee questions regarding payroll, deductions, and benefits.
  • Manage garnishments, employee contributions, 401(k), flexible benefits, and other payables.
  • Participate in miscellaneous filing projects and administrative duties related to payroll and HR.
  • Support the development, implementation, and maintenance of HRIS modules.
  • Complete certified payroll forms and ensure compliance with prevailing wage laws and fringe metrics.
  • Reconcile wage data sent to ADP with payroll registers and prevailing wage rates.
  • Establish and review wage rates and fringe benefits per project requirements.
  • Assist with other projects and tasks as assigned by management, demonstrating flexibility and initiative.
  • Handle high-pressure situations professionally and efficiently to meet payroll deadlines.

Requirements

  • Associate’s degree or some post-secondary education.
  • 2–4 years of payroll experience.
  • Strong understanding of payroll processes, particularly prevailing wage laws and union payroll.
  • Experience working with large-scale payroll systems covering 1,000 or more employees is highly desirable.
  • Proficiency in ADP payroll platforms, specifically Time and Attendance and Workforce Now.
  • Ability to maintain strict confidentiality.
  • Excellent written and verbal communication skills.
  • Professional, positive attitude.
  • Ability to adapt to dynamic work environments and manage multiple priorities effectively.
