Overview

This role involves supporting a major Super Project Management Oversight (PMO) Program in the US Virgin Islands. The Project Accountant/Administrator will be responsible for preparing monthly invoices, providing contract administration support, maintaining organization of a complex work breakdown structure with over 100 project codes, coordinating travel arrangements, and supporting expense report processing and tracking. Additional duties include coordinating timekeeping systems for both the organization and the client, liaising with IT departments to resolve issues, supporting project reporting requirements, assisting with program onboarding for new team members, providing project administrative support, and managing document control.

The position may also involve supporting the prime contractor by gathering and integrating invoices from other subcontractors. Invoices will be generated using a complex Microsoft Excel template and Deltek Costpoint, with responsibilities including processing and posting invoices and payments in Deltek Costpoint. Other systems utilized include SharePoint and Kahua.

Responsibilities

  • Prepare monthly invoices for the US Virgin Islands PMO Program
  • Provide contract administration support
  • Maintain organization of the work breakdown structure (100+ project codes)
  • Coordinate travel arrangements and support expense report processing and tracking
  • Coordinate timekeeping systems for both the organization and the client
  • Liaise with IT departments to resolve technical issues
  • Support project reporting requirements
  • Assist with onboarding new program team members
  • Provide project administrative support and document control
  • Support prime contractor in gathering and integrating subcontractor invoices
  • Generate invoices using Microsoft Excel and Deltek Costpoint
  • Process and post invoices and payments in Deltek Costpoint
  • Utilize SharePoint and Kahua for project management and documentation

Requirements

  • Minimum 10 years of experience in accounting, invoicing, and administrative support
  • Bachelor’s degree in Accounting or related field preferred
  • Proficiency in Microsoft Excel is mandatory
  • Experience with Deltek Costpoint preferred
