Overview

This role supports the Senior Manager, Financial Operations in the full cycle payroll process, including local, state, and federal taxes, levies, and garnishments, as well as maintenance of the payroll system as it pertains to payroll processing. The position also facilitates payroll reconciliation processes and helps ensure compliance with payroll laws.

This is a full-time, remote position.

Responsibilities

  • Process multi-state bi-weekly and ad-hoc payroll for associates accurately and timely, including review and/or calculation of wages, overtime, deductions, and bonuses.
  • Generate finalized and correct payroll reporting after bi-weekly payroll processing, and provide additional payroll reporting by request.
  • Respond to requests and questions from associates and management regarding payroll issues and discrepancies in an associate-centric manner.
  • Serve as the first point of contact for payroll emails and questions; resolve general payroll questions and concerns and escalate as necessary.
  • Provide clear, accurate, and empathetic payroll support to associates.
  • Stay current on changes in labor laws, regulations, and best practices to maintain ongoing payroll compliance.
  • Ensure compliance with federal, state, and local payroll regulations and tax laws.
  • Coordinate reconciliation of payroll accounts and resolve discrepancies, working with the accounting department to ensure reports are provided in a timely fashion.
  • Partner with benefits and leaves teams to ensure accurate and timely processing of associate leave pay and deductions.
  • Assist with quarterly reporting and year-end payroll processes, including W-2 preparation and distribution.
  • Manage the interface for Flexible Spending Accounts and 401(k) accounts, performing periodic audits to ensure accuracy of the data sent.
  • Monitor and audit integration reports for third-party payroll/tax vendor and 401k plan.
  • Research and recommend process improvements and payroll systems/updates.
  • Assist with internal and external audits, including the annual 401(k) audit and Internal Compliance audit (ICE).
  • Provide back-up support for Canadian payroll and RRSP processing.
  • Support other Total Rewards and HR team members as needed, including back-up support for administration-related questions, special projects, and other duties as assigned.

Requirements

  • Bachelor’s degree in a related field preferred, or an equivalent combination of work experience and education.
  • 5+ years of experience in Human Resources or Finance, with at least 2 years in payroll administration.
  • Strong understanding of payroll principles, practices, and regulations.
  • Proficiency in payroll software (e.g., WagePoint, Workday, ADP, Paychex) and MS Office Suite, specifically Excel.
  • Ability to work effectively in a team environment with both technical and non-technical team members across and beyond accounting.

Preferred Qualifications

  • Knowledge of multi-state and Canadian payroll.
  • Experience collaborating with accounting teams to support internal and external audits, prepare accurate journal entries, and compile key financial data for reporting.

Working Conditions

  • Remote position; reliable internet required.
  • Sitting at a desk and working on a computer for long periods of time.
  • Occasional travel may be needed; occasional on-site meetings will be expected.
  • Must be able to work PST core business hours and additional hours as needed.
