Overview

This role supports an in-house Income Tax team providing tax planning and preparation services for high-net-worth (HNW) and ultra-high-net-worth (UHNW) clients. Responsibilities include managing onboarding and processing of new tax clients, assisting with billing and invoicing, supporting new employee onboarding, and maintaining data accuracy and workflow tracking. The position requires strong communication skills, attention to detail, and professionalism.

Responsibilities

  • Manage onboarding and processing of new tax clients, ensuring data accuracy and timely completion within service level agreements (SLAs).
  • Input new client information into systems and verify accuracy.
  • Generate fee quotes and communicate with clients for approval.
  • Assist with onboarding of new tax employees and related administrative tasks.
  • Support billing and invoicing processes, including monthly tax billing.
  • Assist with terminating tax client engagements.
  • Support integration of newly acquired firms.
  • Use various reports to track workflow and monitor data integrity.
  • Provide insights and suggestions for process improvements.
  • Maintain regular communication with the Tax Operations Manager to ensure timely project completion.
  • Communicate professionally and promptly with clients to ensure a high-quality experience.
  • Perform other general operations and administrative duties as needed.

Requirements

  • High school diploma required; bachelor’s degree preferred.
  • Minimum 1 year of experience in an administrative or assistant role.
  • Experience or willingness to work with dynamic professionals.
  • Strong work ethic with a self-starter attitude; ability to perform under pressure, meet deadlines, prioritize, and manage multiple tasks.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Excellent customer service skills.
  • Ability to maintain confidentiality.
  • Positive, can-do attitude and team-oriented.
  • Ability to prioritize and multitask in a busy environment.
  • Eagerness to become an expert in the role.

Work Schedule and Conditions

  • Standard business hours Monday through Friday, 8 AM to 5 PM.
  • Availability on Saturdays during tax season.
  • Occasional early or late hours to meet deadlines.
  • Work may be performed in a professional office environment or a dedicated home office workspace.
  • Basic technology needs will be provided.
  • Routine sitting and standing; no heavy lifting over 10 lbs.

Compensation and Benefits

  • Base pay range: $26 - $30 USD per hour, dependent on location, experience, education, skills, and certifications.
