Overview
This full-time remote role is for a Tax Specialist supporting individual and business clients. Responsibilities include preparing accurate, complete, review-ready tax work and supporting the end-to-end tax workflow—from intake and document tracking through preparation, internal review, client delivery, and filing administration.
This is a long-term remote position requiring full-time prioritization. The role must be your first priority in terms of work/employment, and you will be unable to work full-time elsewhere and satisfactorily complete the duties required for this position.
Responsibilities
- Prepare assigned federal and state income tax returns for individuals, partnerships, S corporations, C corporations, and exempt organizations.
- Manage the full return-preparation workflow, including client intake, organizer progression, source-document review and tracking, data entry in Drake Tax, supporting workpapers, fixed-asset and depreciation schedules, return review videos, reviewer-note resolution, client delivery, signature requests, e-file readiness, filing, acceptance tracking, and workflow closeout.
- Maintain complete, accurate, and organized tax files.
- Reconcile return inputs to accounting records, financial statements, prior-year information, and supporting documentation.
- Identify missing information, material discrepancies, technical flags, and non-routine matters; document findings clearly and escalate issues requiring management review or professional judgment.
- Support Initial Tax Strategy Consultations.
- Extract and organize relevant information from tax returns, financial statements, entity documents, ownership records, operating agreements, and client notes.
- Prepare tax maps, implementation guides, client to-do lists, walkthrough materials, and sales packages using approved templates, systems, file structures, and management direction.
- Assist with quarterly advisory and accounting support.
- Update planning profiles, prepare current financial and planning information, identify unresolved accounting items, document meeting follow-up, and complete assigned accounting tasks such as transaction classification, account reconciliations, revenue recognition, approved accruals and adjusting entries, and maintenance of supporting schedules.
- Serve as a professional operational point of contact for routine client matters.
- Handle organizer questions, document uploads, portal access, signature requests, document status, scheduling, workflow updates, and approved follow-up items.
- Acknowledge client portal messages, emails, and phone inquiries within the firm’s 48-business-hour response expectation.
- Escalate technical questions, tax notices, material accounting uncertainty, client concerns, and matters outside approved guidance to management.
- Complete client setup and maintain accurate records in Double and other approved systems.
- Track client contacts, organizers, folders, electronic file structures, document uploads, deadlines, signature requests, workflow statuses, work performed, outstanding requests, technical flags, review feedback, and client communications.
- Follow approved templates, standard operating procedures, software procedures, quality-control processes, and data-security practices.
- Participate in continuous improvement by identifying recurring workflow or communication issues, documenting recommendations, and adapting to updated systems and procedures.
- Perform other duties as assigned.
Requirements
- High degree of customer service, attention to detail, and ability to manage multiple tasks.

- Must be able to problem-solve and learn new programs to resolve workflow, technology, and client-service issues.
- Proficient with technology and comfortable using tax preparation software, accounting software, client portals, document-management systems, spreadsheets, and Microsoft 365.
- Must have, or be willing to obtain, a dedicated and secure internet connection.
- Public or open Wi-Fi networks may not be used for firm or client work.
- Must have a quiet, clean, and visually professional workspace appropriate for video calls, internal meetings, and client conversations.
- Strong customer service skills, including professional, friendly, timely, and reassuring communication through video, audio, phone, and written channels.
- Ability to work in a fast-paced environment with minimal supervision while maintaining accuracy, confidentiality, and compliance with firm procedures.
- Must be located in the United States or Canada.
- Willingness to travel to semi-annual in-person team retreats (supervisors and full-time employees only). Locations for in-person team meetings will vary.
Qualifications
- Experience preparing individual and business tax returns, including familiarity with Form 1040, Schedule C, Schedule E, Form 1065, Form 1120-S, and Form 1120.
- Working knowledge of tax return workpapers, source-document organization, depreciation and fixed asset schedules, reconciliations, journal entries, accruals, and supporting schedules.
- Understanding of common entity structures and flow-through tax concepts, including sole proprietorships, disregarded LLCs, partnerships, S corporations, C corporations, and individual owner reporting.
- Ability to produce accurate, organized, and complete work that is ready for management review without requiring the reviewer to reconstruct files or chase routine missing steps.
- Strong attention to detail, organization, prioritization, and deadline-management skills.
- Ability to follow technical direction, use sound judgment within established procedures, and escalate issues appropriately.
- Proficiency with accounting and tax technology; experience with Drake Tax, Tax Planner Pro, Double, client portals, Microsoft 365, and similar systems is preferred.
- Experience in hospitality, restaurants, marinas, real estate, or other service-based industries is a plus.
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field, or equivalent relevant tax and accounting experience, preferred.

Compensation & Benefits
- Starting hourly wage: $22 per hour (eligible for an increase after successful completion of the 90-day probationary period).
- Hours: expands to 30–35 hours per week after training (6–7 hours per day).
- Expected schedule: work primarily between 9:00 am and 5:00 pm CT, with availability during business hours on a week-to-week basis.

- Full-time remote role for candidates located in the United States or Canada.
- Availability aligned with operational needs during business hours, including essential meetings, collaborative projects, client interactions, and time-sensitive tax deadlines.
