Overview

A fast-growing AI-native fintech company is seeking a Finance and Operations Assistant to support the Chief Operating Officer (COO). The organization is building a client relationship companion for financial advisors and is currently in an active growth phase with a small, lean team. This role involves establishing the financial and operational infrastructure from the ground up alongside the COO.

Responsibilities

QuickBooks Setup and Configuration

  • Set up QuickBooks as the primary accounting system from scratch
  • Develop the chart of accounts and account structure tailored to business needs
  • Configure QuickBooks settings to accurately track income, expenses, and liabilities
  • Establish payroll setup and reliable payroll processes within QuickBooks

Ongoing Bookkeeping and Financial Administration

  • Manage weekly and monthly bookkeeping entries
  • Perform regular reconciliations to ensure accuracy of financial records
  • Maintain organized and accurate internal financial records across all accounts
  • Prepare monthly financial summaries for the COO, highlighting income, expenses, and anomalies
  • Proactively identify and flag discrepancies, unusual entries, or financial risks

Research and Operational Support

  • Assist the COO with research tasks across various topics as the business evolves
  • Critically evaluate and validate AI-generated research outputs
  • Summarize research findings into clear, actionable briefs
  • Support internal documentation and ad hoc operational tasks as needed
  • Identify opportunities to automate routine financial or operational processes using AI tools such as Claude or Perplexity

Requirements

Must Have

  • Hands-on experience with QuickBooks, including account setup and ongoing bookkeeping
  • Solid understanding of bookkeeping fundamentals: chart of accounts, reconciliation, journal entries, and financial reporting
  • Experience with payroll setup and processing or strong willingness to learn quickly
  • Strong critical thinking skills with the ability to validate AI outputs before acting
  • Comfortable working in a fast-moving, early-stage environment with evolving processes
  • Highly detail-oriented with zero tolerance for errors in financial records
  • Ability to work independently with minimal oversight and proactively surface issues
  • Strong written communication skills: clear, concise, and professional

Nice to Have

  • Experience setting up QuickBooks or similar accounting systems from scratch for a new company
  • Experience establishing payroll processes from the ground up
  • Familiarity with AI tools like Claude or Perplexity for research and documentation
  • Background in fintech, financial services, or early-stage startups
  • Experience supporting a COO or senior executive in a high-trust, low-oversight environment
  • Exposure to financial or investor reporting at an early-stage company
