The position partners closely with People Operations and Finance to ensure associates are paid on time and without error. This is a strong fit for an experienced payroll professional with hands-on payroll tax experience who wants a focused, part-time schedule.

Responsibilities

Payroll processing

  • Run payroll end to end for each pay cycle in the US and Canada.
  • Review time and attendance, earnings, deductions, benefits, and garnishments before each run; audit results to catch anomalies before they reach associates.
  • Process off-cycle payments, bonuses, and final pay in line with state and provincial requirements.

Payroll tax compliance

  • Manage payroll tax withholding, deposits, and quarterly and annual filings across US federal, state, and local jurisdictions and Canadian federal and provincial jurisdictions.
  • Handle Canadian remittances including CRA remittances, CPP/QPP, and EI.
  • Register new tax accounts as associates are hired in new states and provinces, and keep existing accounts current.

Year-end reporting and agency notices

  • Prepare, reconcile, and distribute year-end forms (W-2, T4, and RL-1 where applicable).
  • Process amended filings and corrections.
  • Respond to tax agency notices promptly; identify root causes and resolve discrepancies to prevent recurrence.

Acquisitions and payroll integration

  • Transition associates from acquired companies onto the organization’s payroll.
  • Collect and validate payroll and tax history.
  • Map pay codes, deductions, and benefits.
  • Set up or transfer state, local, and provincial tax accounts.
  • Run test payrolls where needed to ensure associates are paid correctly from their first pay cycle.

Reconciliation and reporting

  • Reconcile payroll to the general ledger for each cycle.
  • Support Finance with accruals, month-end close, and audits.
  • Provide payroll and labor cost reporting to leadership on a regular cadence.

Associate support and process

  • Answer associate payroll and tax questions clearly and confidentially.
  • Monitor payroll tax law changes in the US and Canada and update processes and system settings accordingly.
  • Document repeatable payroll procedures to support consistent payroll operations as the organization grows.

Requirements

  • Five or more years of hands-on payroll experience, including running payroll end to end.
  • Direct payroll tax experience, including multi-state withholding, tax deposits, quarterly and annual filings, and agency notice resolution.
  • Experience preparing and reconciling year-end tax forms.
  • Comfort with a major payroll platform and strong Excel skills for reconciliations.
  • High attention to detail and ability to meet firm payroll deadlines.
  • Sound judgment and discretion with confidential associate information.
  • Clear, concise written and verbal communication.
  • Ability to work independently with limited direction.

Preferred Qualifications

  • Experience running payroll across both the US and Canada, including CRA remittances, CPP/QPP and EI, provincial tax, and T4/RL-1 reporting.
  • Experience integrating payroll for acquired companies, including data migration, pay and deduction code mapping, and tax account setup or transfer.
  • Experience at a growing, multi-entity, or multi-state company.
  • Comfort with productivity and AI tools, and ability to quickly learn new systems.
  • A degree in accounting, finance, business, or related field, or equivalent work experience.
