Overview

This role helps onboard employer accounts and get employers set up to pay their workers through the organization’s payroll platform. Employers are typically small and midsize businesses (such as restaurants, salons, clinics, home care agencies, and similar) with anywhere from a handful of workers up to about 150, sometimes across several states.

Work involves meticulous setup of taxes, deductions, and benefit details to ensure everything is correct before the first real payroll.

Responsibilities

  • Build employer accounts end to end, including:
    • Company setup
    • Federal, state, and local tax accounts and rates
    • Pay schedules
    • Earning codes
    • Worker records
  • Set up deductions with correct pre- and post-tax treatment, including:
    • 401(k) and other retirement plans (deferrals, employer match, catch-up, loan repayments)
    • Health and other benefit deductions
    • Garnishments
  • Use prior-provider reports to map earnings, deductions, and benefits into the platform and confirm each item is configured correctly
  • Perform every build check before go-live by:
    • Running test payrolls
    • Comparing results against prior-provider registers
    • Fixing differences before the first real payroll
  • Coordinate with the migration team so each account’s setup and YTD data are ready at the same time
  • Manage multiple onboardings moving toward go-live dates, and follow up on missing items (tax IDs, SUI rate notices, plan documents, prior-provider reports) with employers and partners
  • Walk employers through setup and first payrolls via Zoom, phone, and email
  • Route tax and legal questions to the appropriate internal resources instead of answering independently
  • Identify setups that repeatedly fail, and contribute to improving the checklist, product, or process behind them

Requirements

  • 3+ years of hands-on payroll implementation at a payroll provider, PEO, or embedded payroll platform building accounts for many employers
    • In-house payroll for a single employer does not count for this role
  • Experience personally setting up dozens of employers, with ability to describe roughly how many and how large
  • Strong working knowledge of pre- and post-tax deductions, 401(k) and benefit deductions, and garnishments
  • Experience setting up state and local tax accounts, including for multi-state employers
  • Strong attention to detail; ability to verify your own work and investigate when numbers don’t tie
  • Comfort working in spreadsheets, including reading other providers’ payroll registers and deduction reports and mapping them into a new system
  • Clear, patient communication across Zoom, phone, and email
  • Ability to organize and manage many onboardings at once in a ticketing system (Zendesk, Slack, and Google Workspace are used)
  • Comfortable working in a startup environment where some processes are still being developed
