Position: Sponsored Programs Finance Analyst I, Sponsored Programs Finance
Location: Boston, MA (Remote)
Schedule: 40 hours per week
This role provides accounting and analytical support to the Sponsored Programs Finance team. The analyst will manage a moderate portfolio of sponsored projects and serve as the financial contact for department administrators, principal investigators, and central research administration. Responsibilities include monitoring, controlling, and reporting on grants and contracts, performing daily account analysis, and communicating with the research community, sponsors, and administration personnel. The position ensures fiscal management of grants and contracts complies with applicable policies and regulations.
Responsibilities
Grant Portfolio Management
- Manage assigned sponsored projects portfolio, performing all post-award functions per sponsor terms, including award setup, budget and expense analysis, monthly invoicing, financial reporting, and re-budgeting.
- Communicate regularly with investigators and department administrators regarding financial management of sponsored funds, including budget vs. spending, unbilled/billed amounts, aged receivables, unreconciled accounts, and deficits.
- Conduct grant closeout activities such as reconciliation, financial report preparation and submission, final invoicing, purchase order liquidation, fund carryover, and accounts receivable follow-up.
- Communicate with sponsors as needed for problem resolution, outstanding receivables, budget adjustments, and information gathering.
- Perform general department responsibilities as assigned, including managing shared email inboxes, accounts receivable, vendor invoices, journal entries, purchase orders, letter of credit draw preparation, batch invoicing, grant ending notifications, and subinvoice monitoring and payment.
- Support ad hoc projects and analyses as requested by management.
- Assist with internal and external sponsor audits by gathering documentation and coordinating with department staff.
Reporting and Analysis
- Prepare periodic financial reports for internal stakeholders and external sponsors.
- Conduct variance analyses to identify and address discrepancies.
Compliance and Oversight
- Ensure compliance with federal, state, and sponsor-specific regulations, including Uniform Guidance (2 CFR 200).
- Support audit processes by providing necessary documentation and liaising with relevant personnel.
Support and Collaboration
- Provide financial guidance to principal investigators, including budget modifications and projections.
- Coordinate with the Office of Sponsored Programs, Finance, and external sponsors.
Process Improvement
- Identify opportunities to improve financial management and reporting processes.
- Stay current on hospital policies and federal/non-federal regulations related to grants and contracts.
Requirements
Education
- High School diploma or GED required.
- Bachelor’s degree (BS/BA) in Accounting, Finance, Business, or related field preferred.
Experience
- With High School/GED: Minimum 5 years of experience in grant management.
- With BS/BA: 1-3 years of relevant experience, preferably in accounting or finance.
Knowledge and Skills
- Strong computer skills, especially Microsoft Office and Excel.
- Excellent interpersonal and communication skills, both verbal and written.
- Strong analytical and deductive reasoning abilities.
- Ability to work independently and collaboratively.
- Excellent customer service skills.
- Skilled in problem solving and conflict resolution.
- Ability to manage multiple priorities and meet strict deadlines.
Compensation and Benefits
- Salary range: $62,500 to $91,000 annually (based on minimum qualifications and other factors such as education, experience, skills, certifications, organizational needs, and market competitiveness).
