Overview
A multi-channel developer and distributor of specialty supplies, tools, and equipment used in fabrication, maintenance, cleaning, and restoration across residential, commercial, and industrial markets is seeking an Accounts Payable Specialist II. The organization offers over 18,000 SKUs including proprietary, exclusive, and nationally branded products.
Responsibilities
- Process a high volume of vendor invoices daily (approximately 300 per week).
- Perform vendor account reconciliations using statements and ensure all necessary documentation is available for invoice processing.
- Research, audit, and resolve complex vendor account issues.
- Identify process improvement opportunities and present solutions to accounting leadership.
- Monitor accounts payable aging weekly to ensure timely vendor payments according to guidelines.
- Prioritize payments for sensitive and critical vendors, especially those with quick pay discounts.
- Collaborate with buyers to resolve invoice discrepancies and report delays to the Accounting Manager.
- Issue weekly checks for three divisions, match copies to backup documentation, obtain signatures, and mail checks.
- Maintain up-to-date filing for unpaid and paid invoices and keep work areas organized.
- Respond promptly to vendor calls and emails.
- Address vendor holds on shipments urgently.
- Perform additional duties as assigned.
Requirements
- Three to five years of accounts payable experience.
- Two-year degree preferred but not required.
- Self-motivated with the ability to prioritize and manage multiple tasks and deadlines.
- Strong analytical skills.
- Team-oriented, willing to contribute to special projects and department goals, including support during annual external audit preparation.
- Provide excellent customer service to all employees.
- Proficient in Microsoft Office (Word, Excel, PowerPoint), with advanced Excel skills.
- Must be at least 18 years old.
- Ability to pass pre-employment drug screening and background check.
