Overview
A clinical-stage pharmaceutical organization is seeking an Accounts Payable (AP) Specialist to manage invoice entry and auditing, vendor statement reconciliation, and mailbox management for AP and expense reporting systems. This role requires maintaining timely invoice processing, auditing employee expenses, handling vendor and employee inquiries, and ensuring compliance with company policies in a fast-paced environment.
Note: Hiring for this role will begin in September 2026.
Responsibilities
- Manage AP and Concur mailboxes, responding to vendor and employee inquiries within 48 hours.
- Process invoices and payment requests in NetSuite for assigned accounts, ensuring compliance with purchase order and expenditure policies.
- Verify receipt of goods and services, resolve discrepancies, record applicable taxes, and follow up on outstanding draft invoices.
- Audit employee travel and entertainment expenses in Concur for policy compliance, communicate audit findings, and track personal spend related to corporate cards.
- Perform monthly reconciliations and monitor assigned critical vendor accounts, including invoice processing.
- Reconcile vendor statements and work directly with vendors to resolve discrepancies and obtain missing documentation.
- Support Concur platform administration, including user maintenance, reporting, approval workflow updates, corporate card administration, and employee support.
- Assist with NetSuite and Concur testing, system enhancements, annual audit requests, 1099 review activities, and continuous process improvement initiatives.
- Comply with all company policies and procedures and provide recommendations to improve AP and T&E processes.
Required Qualifications
- Bachelor's degree in Accounting, Finance, or Business Administration with 1–3 years of Accounts Payable experience, OR an Associate's degree with 3–5 years of relevant Accounts Payable experience, OR no degree with 5+ years of relevant Accounts Payable or accounting experience.
- Demonstrated knowledge of Accounts Payable including travel and entertainment (T&E) principles and best practices.
- Experience working with automated ERP systems and expense reporting systems.
- Strong problem-solving skills and ability to research issues related to the AP cycle and T&E auditing.
- High attention to detail and accurate data entry skills.
- Excellent communication skills with a focus on customer service and managing service priorities.
- Exceptional organizational skills with the ability to prioritize workload and manage multiple priorities.
- Ability to work independently with appropriate supervision.
- Willingness to collaborate with team members and provide support as needed.
- Proficiency in Microsoft Office.
Preferred Qualifications
- Experience with Oracle NetSuite and Concur.
- Advanced Excel skills, including pivot tables, lookups, and reporting.
Work Location and Conditions
- Remote work opportunities are supported within the United States.

- Occasional travel to the corporate office in Cambridge, MA, and attendance at company-related events as necessary.

Compensation
- Estimated pay range: $65,000 - $73,000 USD annually.
- Final offer will depend on experience, skills, qualifications, and internal equity considerations.
