Overview

The organization is seeking a detail-oriented, reliable full-time Accounts Payable Specialist. This role reports to the Financial Controller and works closely with FP&A, budget owners, and vendors. Responsibilities include owning the day-to-day accounts payable (AP) cycle—from invoice intake through payment and bank reconciliation—using an automated AP workflow and NetSuite.

Responsibilities

Invoice processing

  • Manage the AP inbox, respond to vendor questions in a timely manner, and resolve past-due balances promptly and accurately.
  • Review, code, and process vendor invoices in Rippling Spend (automated AP tool), ensuring correct approvals, GL coding, and supporting documents.
  • Manage policies and administrative tasks within Rippling Spend.
  • Maintain accurate vendor master data, including W-9s, banking details, and payment terms.

Payment runs

  • Prepare bi-monthly payment runs by ACH, wire, and check, based on due dates, terms, and available cash.
  • Build payment proposals for approval and confirm payments are posted correctly in NetSuite.
  • Follow controls to prevent duplicate or fraudulent payments, including verifying changes to vendor bank details.

Corporate credit cards

  • Review and authorize corporate credit card charges and expense reports against company policy in Rippling Spend.
  • Follow up on missing receipts, miscoded transactions, and policy exceptions.
  • Manage policies and administrative tasks, including issuing credit cards and managing credit limits.
  • Reconcile card statements to the general ledger every month.

Bank matching and cash management

  • Apply and match bank transactions in the NetSuite bank matching module every day.
  • Investigate and clear unmatched or unusual items.
  • Initiate and record fund transfers between company bank accounts to ensure adequate funding.
  • Perform monthly bank reconciliations for all assigned US entity accounts, including operating, payroll, and affiliate payment accounts.

Month-end and compliance

  • Support month-end close by maintaining supplier accounts in NetSuite, performing aging report analysis, and completing account reconciliations.
  • Identify opportunities to streamline reconciliations and close processes, and implement improvements with the US Controller’s approval.
  • Maintain and update accounting procedures and documentation for assigned areas, including SOPs and the Company Travel and Expense Policy.
  • Assist with 1099 preparation, audit requests, and sales and use tax review.
  • Support system implementation and integration projects as needed.

Required Qualifications

  • 3+ years of full-cycle accounts payable experience.
  • Associate's or bachelor's degree in accounting or finance, or equivalent experience.
  • Experience working remotely within a distributed Accounting & Finance team.
  • Hands-on experience with an automated AP or expense workflow such as SAP Concur, Coupa, Bill.com, or Tipalti.
  • Working knowledge of NetSuite, including vendor bills, payment processing, and the bank matching module.
  • Experience preparing payment runs by ACH, wire, and check, and moving funds between bank accounts.
  • Experience reviewing and approving corporate card transactions against policy.
  • Solid understanding of AP internal controls, 1099 reporting, and month-end close.
  • Intermediate Excel skills, including XLOOKUP, pivot tables, and reconciliations.
  • Strong attention to detail, clear written communication, and good judgment with confidential financial information.
  • Experience researching and resolving discrepancies.
