Overview
Accounts Payable Supervisor
Salary: $80,000 - $100,000 annually (dependent on experience)
This role involves overseeing the daily operations of the accounts payable team responsible for processing payments across multiple locations. The position ensures timely processing, operational accuracy, and maintains positive relationships with business partners.
Responsibilities
- Supervise a team of 2 in day-to-day accounts payable activities, ensuring accurate processing, coding, and posting of invoices and payments.
- Coordinate with Purchasing, hotel venues, and other departments to reconcile and resolve purchase order, invoice, and receiving issues.
- Review and schedule vendor payments daily or weekly in collaboration with the Controller.
- Post business transactions, process invoices, and verify financial data to maintain accounts payable records.
- Review, approve, and set up new vendors in purchase order, accounts payable, and banking systems.
- Accurately record monthly accruals for goods/services received but not invoiced and invoiced but not received.
- Reconcile the accounts payable ledger to ensure all bills and payments are accounted for and properly posted.
- Ensure accuracy of financial documents for payment, auditing, and tax purposes.
- Prepare information for annual 1099 forms and coordinate with external firms.
- Support the annual audit process and assist with special reporting as needed.
- Identify opportunities to improve accounts payable processes to enhance efficiency and internal controls.
- Monitor payments to ensure timely vendor payments and prevent unintentional overpayments.
- Understand compliance requirements related to accounts payable processes (e.g., W-9, sales tax).
- Understand expense accounts and cost centers.
- Perform additional duties and special projects as assigned by the Controller.
Requirements
- 5 to 7 years of accounts payable experience.
- Previous experience supervising a remote team.
- Proficiency in Microsoft Office Suite.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Data entry skills and comfort working with numbers.
- Understanding of basic finance, accounting, and bookkeeping principles.
- Ability to maintain confidentiality of company and partner information.
- Ability to work independently and manage multiple tasks in a high-pressure environment.
Preferred Qualifications
- Experience with Oracle NetSuite is a plus.
Education & Experience
- Five to seven years of relevant accounts payable experience.
- Supervisory experience managing remote teams.
