Overview

The organization is seeking an experienced Assistant Controller to support growth within the Finance & Accounting function. This role is highly visible, partners closely with the Executive Team, and owns core accounting operations while helping build scalable controls, technology, reporting, and working-capital infrastructure as the business expands its consultant workforce, client base, and multi-state footprint.

The right candidate is comfortable being hands-on today while building processes for the future—closing the books, resolving payroll or billing issues, building cash-flow visibility, improving approval workflows, and translating financial results for leadership. A strong focus on leveraging technology and dashboards to replace manual work is essential.

Responsibilities

Accounting, Close & Cash Management

  • Own the monthly close, general ledger, reconciliations, accruals, revenue-related entries, GAAP financial statements, and supporting controls and documentation.
  • Own or coordinate weekly cash-flow and working-capital reporting, including current cash, expected receipts and disbursements, payroll requirements, collections, financing activity, and near-term liquidity needs; provide leadership with clear commentary on risks and changes.
  • Support annual close activities including external CPA work, tax schedules, benefit plan audits, 1099 reporting, budgeting, forecasting, reforecasting, and customer-level revenue and gross-margin forecasting.

Payroll, Billing & Working Capital

  • Own the accounting and control aspects of payroll for a growing multi-state consultant workforce, including W-2/1099 approval workflows, reconciliations, accruals, payroll taxes, and coordination with third-party providers.
  • Own and improve weekly client billing, unbilled activity, A/R reporting, collections, payment application, and customer-specific invoicing requirements.
  • Ensure strong controls and reporting connect time worked, payroll, billing, revenue, A/R, cash collection, and gross margin.
  • Manage factoring-related reporting and support a potential transition to a revolving line of credit, including borrowing-base certificates, eligible receivable schedules, lender reporting, and related reconciliations.

Reporting, Compliance & Scalability

  • Prepare monthly financial reporting and weekly operating/cash reporting for leadership, building visibility into revenue, gross margin, headcount, utilization, churn, customer profitability, cash flow, and working capital.
  • Partner with Finance leadership to move recurring metrics from manually maintained Excel reporting toward Power BI or other scalable dashboards where practical.
  • Coordinate multi-state payroll, tax, workers’ compensation, insurance, and related compliance requirements with internal and external partners.
  • Improve systems, workflows, automation, documentation, and controls across timekeeping, payroll, billing, banking, financing, and accounting systems.

Requirements

  • 7+ years of progressive accounting experience with meaningful ownership of close, GL, reconciliations, financial reporting, and working-capital processes.
  • Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Strong GAAP knowledge and experience in a multi-state environment; California experience is preferred.
  • Strong payroll, client billing, A/R, cash-flow forecasting, and operational accounting experience.
  • Staffing, consulting, professional services, or another high-volume, working-capital-intensive industry strongly preferred; LLC experience is preferred.
  • Experience with factoring, revolving credit facilities, or borrowing-base reporting is a plus.
  • Advanced QuickBooks Online or similar accounting-system skills and advanced Excel capability; Power BI or similar dashboard experience is preferred.
  • Process-improvement mindset with demonstrated ability to use technology, automation, and controls to scale a growing accounting function.
