Overview
A healthcare organization is seeking a detail-oriented and proactive Bookkeeper / Administrative Assistant to join their team on a part-time basis. This role supports financial operations and administrative functions to ensure smooth day-to-day activities within the organization.
Responsibilities
- Manage and track multiple expense reports using the company’s financial systems
- Support Accounts Receivable and Accounts Payable functions, including invoicing, collections, and payments
- Organize, complete, and maintain accurate records of financial transactions
- Prepare and reconcile financial documents and reports related to expenses and revenue
- Provide administrative support such as document production, correspondence, memos, presentations, and reports
- Coordinate meetings (in-house and virtual), including scheduling, preparing presentation materials, arranging catering, and managing logistics
- Maintain informational databases by creating, updating, and managing contacts and records
- Interface professionally with internal and external customers, staff, and management to facilitate communication and operations
- Assist in cost control and budget monitoring activities to ensure financial efficiency
- Perform other administrative duties as required to support team objectives and organizational goals
Requirements
- Minimum of 3 years of experience working with QuickBooks at all levels
- At least 2 years of experience in Accounts Receivable and Accounts Payable bookkeeping
- Strong proficiency in MS Office Suite (Word, PowerPoint, Excel) and Adobe Acrobat
- Bilingual proficiency in English and Spanish is required
- Excellent verbal and written communication skills
- Exceptional organizational skills with high attention to detail
- Ability to work independently with minimal supervision
- Strong interpersonal skills to interface professionally with staff, management, clients, and vendors
- Experience managing multiple tasks in a fast-paced environment and working effectively under pressure
- Basic financial knowledge related to cost control and budget administration is preferred
- Demonstrated tact, diplomacy, and confidentiality in handling sensitive information
