Overview

This role involves managing comprehensive payroll operations within a multi-state environment, supporting various divisions such as Home Care, Clinical Research, Impairments, and Catastrophic Care. The position requires leadership in payroll processing, compliance, and team management to ensure accurate and timely payroll services that enhance employee experience.

Responsibilities

Payroll Administration

  • Manage end-to-end payroll processing for exempt, non-exempt, and variable compensation employees.
  • Ensure accurate and timely payroll processing including new hires, terminations, bonuses, commissions, retroactive payments, and adjustments.
  • Maintain payroll records and ensure data integrity across systems such as Workday, ADP, and Salesforce.
  • Review payroll reports, reconciliations, and audits to identify and resolve discrepancies.
  • Oversee payroll-related deductions, garnishments, benefits, taxes, and timekeeping integrations.
  • Develop, document, and maintain payroll policies, procedures, and internal controls.
  • Support payroll system enhancements, testing, and implementations.

Communication and Customer Service

  • Serve as an escalation point for complex payroll inquiries and issue resolution.
  • Provide exceptional customer service to employees, managers, HR, Finance, Staffing, and other stakeholders.
  • Communicate payroll policies, timelines, and regulatory requirements clearly and professionally.
  • Build strong relationships across the organization to ensure a positive employee experience.
  • Develop training materials for employees and managers related to payroll processes and self-service tools.

Compliance

  • Ensure compliance with federal, state, and local payroll regulations and employment tax requirements.
  • Manage multi-state payroll tax reporting and filings.
  • Oversee year-end payroll activities including W-2 processing and audit support.
  • Collaborate with compliance teams to maintain adherence to wage and hour laws, garnishment requirements, tax regulations, and company policies.
  • Coordinate with internal and external auditors and support payroll-related audits.
  • Partner with employment counsel to monitor legislative and regulatory changes and implement payroll updates.

Leadership

  • Lead, coach, and develop payroll team members to ensure high performance and engagement.
  • Establish team goals and performance expectations.
  • Promote a culture of accountability, continuous improvement, and operational excellence.
  • Manage workload prioritization and resource allocation.
  • Foster collaboration within the payroll team and across departments.

Cross-Functional Partnership

  • Collaborate closely with HR, Benefits, Finance & Accounting, Clinical Leadership, and Legal teams.
  • Support employee lifecycle processes including onboarding, compensation changes, leaves of absence, and terminations.
  • Assist with month-end, quarter-end, and year-end financial reporting and reconciliations.
  • Participate in organizational initiatives, system implementations, and process transformation projects.
  • Provide payroll reporting, analysis, and insights to support business decisions and organizational objectives.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or related field; equivalent combination of education and relevant experience considered.
  • Minimum of 8 years of progressive payroll experience, including leadership or management responsibilities.
  • Experience managing payroll operations in a multi-state environment.
  • Hands-on experience with Workday Payroll; experience with Workday Reporting is a plus.
  • Demonstrated management and leadership experience with direct people leadership.
  • Strong knowledge of federal, state, and local payroll tax regulations and compliance requirements.
  • Experience with payroll audits, reconciliations, and internal controls.
  • Strong analytical, organizational, problem-solving, and communication skills.
  • Advanced proficiency with Microsoft Excel and payroll reporting tools.

Preferred Qualifications

  • Certified Payroll Professional (CPP) certification.
  • Experience in the healthcare industry.
  • Experience supporting medium-to-large or rapidly growing organizations.
  • Experience with payroll process improvement, automation, and system implementations.
  • Experience utilizing ADP payroll solutions and related tools.
  • Knowledge of timekeeping and benefits administration and system integrations.
