Overview
A fast-growing U.S.-based real estate development organization focused on high-quality home renovations and new construction projects in California is seeking a detail-oriented and proactive Bookkeeper. This role supports bookkeeping, data entry, account reconciliation, expense tracking, and financial record management across multiple projects.
Responsibilities
Bookkeeping & Financial Records
- Record and categorize daily transactions accurately in QuickBooks Online (cash basis)
- Assist with accounts payable and accounts receivable tracking
- Review invoices, receipts, bills, and payment records for accuracy
- Support bank, credit card, and vendor account reconciliation
- Manage multi-entity books across several QuickBooks Online entities
- Handle intercompany transactions and reconcile balances between entities
Documentation & Accounting Support
- Maintain clear, organized, and accurate financial records
- Update bookkeeping files based on new transactions and corrections
- Organize receipts, invoices, statements, and supporting documents
- Ensure consistency across records, spreadsheets, reports, and accounting systems
Coordination & Administrative Support
- Coordinate with bookkeepers, team members, vendors, and property/project contacts as needed
- Follow up on missing invoices, receipts, W-9s, payment details, and documentation
- Track pending accounting items, payment status, and open questions
- Support basic financial reporting, expense summaries, and project cost tracking
Accuracy & Risk Management
- Maintain accuracy, clarity, and consistency in all bookkeeping work
- Proactively flag missing information, duplicate charges, payment issues, and unusual transactions
- Help keep financial records current by completing assigned updates and reconciliations on time
Requirements
- Degree in Accounting, Finance, or related field
- 1-2 years of bookkeeping, accounting, or finance support experience
- Experience with data entry, expense tracking, and account reconciliation
- Ability to review invoices, receipts, statements, and payment records accurately
- Proficiency with spreadsheets and bookkeeping/accounting software
- Highly organized, detail-oriented, and reliable
- Strong English communication skills, both written and verbal
- Willingness to work exclusively for the organization
Preferred Qualifications
- Experience with real estate, construction, property management, or project-based accounting
- Experience working with U.S.-based or remote clients
- Familiarity with property tax processing
- Experience with multi-entity accounting and 1099 filing
- Familiarity with accounts payable, accounts receivable, vendor payments, and W-9 documentation
- Experience tracking project costs, receipts, reimbursements, and monthly financial records
- Basic knowledge of QuickBooks, AppFolio, Excel, Google Sheets, or similar tools
Tools Used
- QuickBooks or other bookkeeping/accounting software
- AppFolio or similar property management software
- Google Drive, Google Sheets, and Excel
- Bill payment platforms such as Deluxe
- Communication tools including Email, WhatsApp, and Zoom
