Overview
This role involves owning the transactional layer of the accounting function, including spend, payables, receivables, cash, and reconciliations across a growing group of entities. The position ensures accounting data is accurate, complete, and trusted by internal stakeholders.
The work is end-to-end: identify issues early, build processes and controls that support scaling, and collaborate across teams—comfortable both coaching non-finance teammates on expense policy and performing detailed reconciliation tasks.
AI-assisted workflows are a core part of how the accounting team operates.
Responsibilities
Spend management
- Own administration of spend tools, including card setup and limits, transaction coding review, receipt and policy compliance, and reimbursements/repayments.
- Provide first-line support for employee questions related to spend.
- Set up coding options and spend controls in advance to ensure transactions are coded correctly from the start.
- Keep expense policies and approval workflows clear, documented, and consistently followed.
Payables and receivables
- Manage the AP process from invoice intake through payment, ensuring bills are correctly coded, routed for approval, and paid accurately and on time.
- Own cash application and AR aging to keep receivables current, accurate, and visible to the team.
- Maintain unbilled receivable schedules and track expected funding dates, tying these to incoming cash.
- Redesign AR processes around tax credit transaction timelines by building tracking and controls that connect expected funding to billing and cash.
Close and reconciliations
- Support monthly close by owning assigned journal entries, accruals, prepaids, and checklist tasks.
- Prepare assigned bank and balance sheet reconciliations, including spend platform to GL tie-outs, with clean, audit-ready support.
- Record routine cash and intercompany entries across company entities using established processes.
- Assist with annual audit preparation and respond to auditor requests.
- Reconcile payroll entries to the GL each month.
Systems and data
- Own GL-to-subledger integrity for spend and AP by keeping integrations running, catching sync breaks, and correcting miscoding.
- Keep department and account coding current and aligned with the organization’s structure as the business changes.
- Lead process improvements to increase automation and accuracy, including AI-assisted reconciliations and workflows.
- Partner with the accounting team and RevOps to keep deal data in HubSpot accurate and reconciled to the GL.
