Overview

The Tax & Operations Program Coordinator will provide reporting and data analysis support for mobility programs. This role involves supporting the client's mobility program by collaborating closely with tax, finance/payroll, account management, and operations teams.

This position is open for hybrid work in Austin, TX or virtual within the United States.

Responsibilities

  • Monitor group mailbox for requests, manage trackers, and facilitate follow-ups related to TRWA/Work programs.
  • Respond to TRWA policy and tax questions.
  • Review cost estimates provided by the client’s tax firm.
  • Monitor a dedicated global email inbox and route inquiries to appropriate parties.
  • Track international assignment cost estimates and provide information to Finance for tax accrual setup.
  • Provide Cigna reports to the tax provider as required.
  • Respond to basic tax questions as outlined by the client.
  • Review initiations and authorizations (cost centers, relocation dates, assignment types, etc.) to ensure complete information is provided to the tax service provider.
  • Maintain the global tax service authorization list and liaise with the tax provider on any questions.
  • Review US domestic cost estimates received by the Program Coordinator team and facilitate cost estimates to/from the client’s tax firm.
  • Coordinate and track proof of fund deposits, deposits of tax refunds from employees, and payments of taxes due.
  • Facilitate the Tax Equalization Payment Process, including follow-ups.
  • Serve as an escalation point of contact for the tax provider regarding non-responsive populations requiring tax consultations and answer basic tax questions.
  • Conduct quarterly reviews with the Finance team on the status of tax accounts for final release of tax accruals based on tax payments, employee collections, and tax return preparation status.
  • Perform quarterly reviews for reasonability of relocation costs for US Payroll reporting purposes.
  • Assist with quarterly budget-to-actual tax spend and payroll recharge reports.
  • Respond to ad hoc questions from Finance, internal team members, or the tax provider.
  • Assist with projects and other assigned tasks as defined by the client.

Requirements

  • High school diploma required; undergraduate degree preferred.
  • Minimum of 3 years of experience in talent mobility, reporting, or project management.
  • Intermediate accounting skills required.
  • Tax background preferred.
  • Intermediate Excel skills, including VLOOKUP and pivot tables.
  • Ability to work with large volumes of data with attention to detail and analytical skills to identify anomalies.
  • Critical thinking skills to develop solutions or improvements based on the business environment and partner capabilities.
  • Ability to multitask and manage projects with competing deadlines and priorities.
  • Excellent team player.
  • Adaptability and patience to embrace different situations and new ideas.
  • Ability to effectively utilize AI tools/agents (such as CoPilot) to assist with caseload, if approved by the client.

Compensation & Benefits

  • Salary range: $50,000 - $80,000 USD, varying based on location, market conditions, experience, and qualifications.
