Overview
The organization is seeking an Onboarding Specialist to join its White Glove team. This role leads the first 60–90 days of each new client relationship, establishing trust, operating processes, and reporting standards for private clients, family offices, and registered investment advisors (RIAs).
The ideal candidate has worked within a family office or alongside one as an accountant or controller. This position requires familiarity with charts of accounts for multi-generational families, alternative investment reconciliations, quarterly closes, and year-end audits.
Responsibilities
- Lead end-to-end onboarding for new private client, family office, and RIA accounts
- Coordinate with custodians, banks, and alternative investment platforms to establish data feeds
- Build each client's chart of accounts, entity structure, and reporting framework within the platform
- Reconcile historical data and establish accurate baselines from the beginning of each engagement
- Train clients on the platform and establish reporting cadences that meet their needs
- Partner with Sales on pre-close calls to accurately assess onboarding complexity
- Transition clients to the ongoing White Glove team with documentation that supports continuity
Requirements
- 5+ years of experience in a family office (single or multi-family), wealth management firm, or accounting role serving HNW/UHNW clients
- Operational experience closing books, conducting audits, reconciling custodial data, and producing consolidated reports
- Exceptional attention to detail, including the ability to maintain accurate cost basis information
- Confidence working with sophisticated principals, advisors, and external accountants
- Strong process orientation and the ability to develop procedures while executing them
- Discretion when handling sensitive financial information
Preferred Qualifications
- CPA, CFA, or CFP credentials are a strong plus but not required
