Overview

The organization is seeking an Accounts Payable Specialist responsible for reviewing all stock invoices from suppliers and ensuring timely payment by following established methods and procedures. This role requires effective communication skills to collaborate with external suppliers and internal managers throughout the accounts payable process.

Responsibilities

  • Receive and review payable invoices for accuracy.
  • Collaborate with other departments to resolve discrepancies promptly.
  • Assist the Accounts Payable Supervisor in monitoring queues and establishing workflow to ensure timely invoice payments, discount capture, and statement reconciliation.
  • Ensure all payables are entered in accordance with company policies and procedures; serve as the point of contact for payable inquiries.
  • Audit incomplete purchase orders and follow up with relevant departments to confirm timely receipt of products.
  • Perform data entry of payables information and manage work queues to complete invoice payments.
  • Build strong professional relationships with internal customers and suppliers to provide superior customer service.
  • Contact suppliers and branches to resolve billing discrepancies and issues related to goods delivery.
  • Understand the payables calendar and assist in coordinating payment timing.
  • Assist in training new Accounts Payable employees.
  • Communicate with branches, suppliers, and other departments regarding payables discrepancies via phone, video conferencing, ticketing systems, email, and trackers.
  • Reconcile supplier statements.
  • Update vendor maintenance records and communicate necessary updates.
  • Assist with telephone inquiries, message taking, filing, photocopying, and typing correspondence as needed.

Requirements

  • Experience with ten-key data entry is required.
  • Outstanding customer service skills.
  • Proficient computer skills including Microsoft Excel, Word, and Outlook; working knowledge of Eclipse software is preferred.
  • Strong computer literacy, teamwork ability, accuracy, and organizational skills.
  • Basic mathematics skills including addition, subtraction, multiplication, and division.
  • High school diploma or GED; or one to three months of related experience and/or training; or equivalent combination of education and experience.

Physical Demands

  • Frequent sitting, standing, walking, use of hands/fingers, reaching with hands/arms, talking, and hearing.
  • Occasional lifting of up to 5 lbs.
  • Use of technology such as phone, computer, printer, keyboard, and 10-key calculator.
  • Visual requirements include close vision (20 inches or less), distance vision (20 feet or more), color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Attendance at branch/company meetings and events as required.
  • Occasional overnight travel may be necessary.

Location

This position may require attendance at various branch or company locations and occasional overnight travel as needed.
