Overview
This full-time Accounts Payable Specialist role reports to the Director of Finance and Accounting and supports accurate and timely financial operations. The position involves invoice and expense report processing, complex reconciliations, vendor and payment management, employee reimbursement administration, and audit and reporting support. The role requires close collaboration with internal teams, education providers, vendors, and other stakeholders to resolve discrepancies, maintain documentation, ensure proper coding and compliance, and support strong internal controls.
Responsibilities
- Manage the accounts payable email inbox and track all AP invoices promptly.
- Utilize Bill.com and Sage/Intacct accounting systems for processing.
- Set up and maintain vendor records accurately, including name, address, payment method, tax code, and 1099 classification.
- Establish payment methods such as check, ACH, and Bill.com network ID in compliance with procedures.
- Maintain W-9 documentation and assist with 1099 processing.
- Process AP invoices through Bill.com and Sage Intacct, ensuring proper approvals, GL coding, and documentation.
- Handle non-education provider invoices and related reconciliations.
- Administer employee reimbursements and support audit and reporting activities.
- Maintain professionalism, confidentiality, and accuracy while managing multiple priorities independently in a fully remote environment.

- Highly detail-oriented and organized.
- Proactive with the ability to manage multiple priorities independently.
- Experience with Bill.com and Sage/Intacct is highly preferred.
