Overview

The AP/AR Specialist is responsible for managing accounts payable and accounts receivable processes to ensure timely payment collection, accurate transaction recording, and resolution of account discrepancies. This role also handles unusual billing situations, such as custom payment arrangements outside of normal operations.

Responsibilities

  • Perform daily cash management duties including recording bank deposits, updating and distributing cash, and posting cash to the accounts receivable ledger.
  • Maintain accounts receivable records to ensure aging is current, apply credits and collections, account for uncollectible amounts, and clear miscellaneous differences.
  • Monitor and collect accounts receivable by contacting clients via email.
  • Complete weekly payables transactions using QicLink and other relevant applications.
  • Communicate discrepancies to management and identify slow-paying clients.
  • Research and resolve payment discrepancies.
  • Work promptly to resolve Vendor, Broker, and Carrier issues.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • 1 to 2 years of experience in accounts payable/accounts receivable.
  • Proficiency with Microsoft Office applications including Word, Excel, Access, and PowerPoint.
  • Experience with Great Plains or other accounting software is preferred.
  • Ability to work independently and collaboratively as part of a team.

Physical Demands

  • This is a standard desk role requiring extended periods of sitting and computer work.

Work Environment

  • Remote position.
  • Requires a reliable internet connection with speeds of at least 100 Mbps download and 25 Mbps upload via cable broadband or fiber optic service to ensure productivity and connectivity.
