Overview
This role is responsible for getting clients billed and paid, maintaining accurate financial records, and running the monthly close in QuickBooks Online. You will work fully remotely on US Eastern hours as a full-time contractor and report to the Operations Manager.
Responsibilities
- Run Stripe invoicing every 4 weeks, in advance, ensuring each client receives an accurate bill on time.
- Calculate variable fees using contract terms and the ad spend report, verify amounts before invoices are sent, and ensure calculations are correct.
- Chase late payments every 3 working days and escalate quiet clients to improve cash collection.
- Apply incoming payments to the correct invoices and keep the AR aging report current so the team can see who owes what.
- Maintain the QuickBooks Online books, including reconciliation of bank, credit card, AR, and AP.
- Run the monthly close and deliver clean numbers for an outside accountant or CPA review.
- Set up new clients in Stripe, prepare final bills for leavers, and support DocuSign contract administration so billing starts and ends cleanly.
- Document finance procedures and maintain trackers so the team can rely on them and future hires can follow them.
- Support daily review and issue spotting (e.g., failed charges and upcoming renewals), and communicate relevant updates to the team.
Daily/Recurring Workflow (Examples)
- Review Mercury and Stripe early each day to identify failed charges and upcoming renewals; post updates to the finance communication channel.
- Follow the AR escalation process when clients are past the last reminder (using the shared AR mailbox and maintaining dated notes in the billing sheet).
- For variable-fee invoices: read the contract, pull the ad spend report, calculate the fee, and confirm the amount before sending.
- For mismatched payments: trace the payment to the invoice and the bank line, then document findings in the finance channel.
- At month end: reconcile bank and credit card accounts, close the books, and hand results to the accountant or CPA, documenting any steps you had to figure out.
Requirements
- Bachelor’s degree in accounting or a related field.
- 3 or 3+ years of experience in bookkeeping, billing, or accounts receivable, including billing or collecting for dozens of active clients.

- Reconciling accounts
- Ability to calculate invoices from ad spend, usage, or contract terms.
- Working knowledge of QuickBooks Online (bank and credit card reconciliation, chart of accounts, AR, and AP) and Excel.
- Demonstrated ability to maintain a billing sheet/tracker/aging report used by others, kept current with dates and actions taken.
- Proven ability to run scheduled collections with an escalation point and to investigate mismatches between an invoice, a payment, and a bank line.
- Clear written and spoken English for client emails, daily updates, and calls with the founder and your manager.
