Overview

This role manages the full renewal and billing lifecycle for subscription and support customers, ensuring timely renewals, accurate invoicing, and effective collections. The position is detail-heavy and process-driven, directly protecting recurring revenue and cash collection.

Eligibility/Location requirement: Must reside in California, Massachusetts, North Carolina, Pennsylvania, Texas, Kansas, or Georgia to apply.

Responsibilities

Run the renewal cycle

  • Use Salesforce reports to identify renewals requiring action at each stage, from early renewal offers 7 months out through standard alerts, follow-ups, and final billing
  • Generate renewal quotes in Xero via the Salesforce–Xero integration, verifying pricing, escalation rates, and quote details
  • Meet monthly completion deadlines for each stage of the renewal cadence

Be the customer’s go-to for renewals

  • Serve as the primary point of contact for renewal questions, including pricing, seat reductions, and payment terms
  • Review each customer’s governing agreement before quoting or invoicing, applying contract terms where they differ from standard process
  • Handle pricing objections and seat reduction requests using a structured, step-by-step response process
  • Explain how renewal pricing was calculated
  • Determine when to resolve issues directly versus when to escalate to the COO, and keep Sales informed through Salesforce Chatter

Own invoicing and billing

  • Create and verify renewal invoices in Xero from Closed Won opportunities (products, seats, tax, addresses, and PO references)
  • Apply billing-timing rules based on PO and approval status, notice periods, and billing deadlines
  • Submit invoices through customer procurement portals such as Coupa, SAP Ariba, and Tungsten Network

Keep Salesforce accurate

  • Maintain opportunity billing details and service contract records across new business, upsell/cross-sell, renewal, and product-change transactions
  • Process mid-term and at-renewal product and seat changes so current and future contracts reconcile
  • Support license key issuance workflows tied to payments and contract stages

Manage collections

  • Run the weekly overdue accounts report and manage the escalating collections sequence
  • Use judgment on when support holds are appropriate based on customer relationship and payment history

Requirements

  • 3+ years in billing, revenue operations, deal desk, or subscription renewals (ideally in B2B SaaS or software licensing)
  • Experience reading commercial agreements (license, subscription, and support contracts) to identify renewal, notice, payment, pricing, and termination terms
  • Proven ability to handle pricing objections in writing, holding pricing positions without early concessions
  • Working knowledge of Salesforce (Opportunities, Service Contracts, Chatter) and Xero or a similar accounting platform
  • Comfort with detailed, rules-based processes, with judgment to identify items outside established rules
  • Strong written communication, particularly for customer-facing pricing and renewal correspondence
  • Familiarity with percentage-based price escalation, pro-rated billing, and PO reconciliation

Preferred Qualifications

  • Tertiary qualification in finance or business
  • Experience with procurement portals such as Coupa, SAP Ariba, or Tungsten Network
  • Experience with multi-year contracts and multi-entity or multi-currency billing
  • Background that balances protecting revenue with managing customer relationships

How Success Is Measured

  • Every renewal stage is completed on time each month
  • Renewal amounts and multi-year escalations are calculated accurately
  • Sales receives timely responses when renewals become expansion opportunities
  • Salesforce and Xero data stays clean, with little rework
