Overview

This role involves supporting a fast-growing, high-volume finance environment as a Senior Accounts Payable Specialist. The position focuses on end-to-end accounts payable operations, transaction management, vendor oversight, reconciliations, and coordination across multiple accounting and procurement platforms. The specialist will administer the corporate card and expense platform Ramp and ensure accuracy between day-to-day transaction processing and month-end general ledger activities across systems such as Sage Intacct, NetSuite, and Coupa.

Responsibilities

T&E, Corporate Card & Policy Compliance (Ramp)

  • Audit all employee spend within Ramp to ensure compliance with company travel and expense policies.
  • Proactively collect missing receipts, memos, or required documentation from employees.
  • Serve as the internal point of contact for expense policies, communicating guidelines clearly.
  • Issue, manage, and monitor virtual and physical corporate cards to employees and vendors.
  • Assist in refining Ramp workflows and submission policies to maximize automation and efficiency.

Full-Cycle Accounts Payable & Payments

  • Review, code, and route invoices for proper approval, ensuring integration between Coupa and Sage Intacct/NetSuite.
  • Manage all outgoing payments including ACH, wires, manual checks, and virtual card settlements.
  • Handle new vendor onboarding, maintain system setups, issue annual 1099 reporting, and respond to vendor inquiries.

GL, Reconciliation & Month-End Support

  • Reconcile the AP sub-ledger, corporate card statements, and bank accounts for accurate posting.
  • Assist with month-end close activities including expense accruals and balance sheet reconciliations.
  • Investigate and resolve billing discrepancies by reconciling vendor accounts.

Process Improvement & Enablement

  • Review and update AP/T&E policies to improve efficiency and internal controls.
  • Maintain up-to-date process documentation.
  • Provide training and support on AP and T&E processes across the organization.

Requirements

Required Experience & Qualifications

  • 3–5 years of progressive, high-volume accounts payable and expense management experience.
  • Bachelor’s degree in Finance, Accounting, or related field, or equivalent hands-on experience.
  • Hands-on experience with Coupa and Sage Intacct; experience with NetSuite is a strong plus.
  • Prior experience administering Ramp or similar spend management platforms (e.g., Brex, Navan) is highly preferred.
  • Strong understanding of AP processes, invoice workflows, vendor management, reconciliations, and month-end close procedures.
  • Ability to manage large transaction volumes with exceptional accuracy.
  • Experience working across multiple financial systems in fast-paced, deadline-driven environments.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and cross-functional collaboration abilities.
  • Proficiency in Excel including pivot tables, VLOOKUP/XLOOKUP, and data analysis functions.

Preferred Qualifications

  • 5+ years of full-cycle Accounts Payable experience in high-volume, fast-paced environments.
  • Experience with AP automation and ERP systems such as Ramp, NetSuite, Coupa, Sage Intacct, SAP, or similar.
  • Knowledge of invoice processing, 2-way and 3-way matching, purchase orders, vendor management, expense reporting, and payment processing.
  • Ability to manage multiple priorities, deadlines, entities, and systems simultaneously.
  • Experience supporting month-end close activities including accruals, reconciliations, and AP aging analysis.
  • Strong problem-solving skills with the ability to investigate discrepancies and resolve issues independently.
  • Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
  • Experience in healthcare, technology, logistics, manufacturing, or other high-growth industries is a plus.
  • Comfortable adapting to new systems, process changes, and automation initiatives.

Compensation & Benefits

  • Salary Range: $82,000 - $102,000 annually.
  • Commission: Not eligible.
  • Travel: None required.
