11_Accounts Payable / Accounts Receivable Specialists

Overview

This role hires Accounts Payable / Accounts Receivable specialists to work 100% remotely from Mexico supporting small and mid-sized U.S. companies, mainly in construction, distribution, manufacturing, and professional services.

Responsibilities

Accounts Payable

• Receive, code, and enter vendor bills; match them to purchase orders and receipts.
• Prepare weekly payment runs (ACH and checks) for approval.
• Reconcile vendor statements and resolve discrepancies by email or phone.
• Collect W-9s and keep vendor records current for 1099 reporting.

Accounts Receivable

• Create and send customer invoices, including progress billing where needed.
• Apply customer payments and keep the aging report clean.
• Follow up on overdue invoices by email and phone in English.
• Support month-end close with AP/AR reconciliations for the bookkeeper or controller.

Requirements

• Minimum 2 years of experience in Accounts Payable (AP) and/or Accounts Receivable (AR).
• Hands-on experience with QuickBooks Online or Desktop.
• Intermediate English (B1+) for professional emails and phone calls.
• Strong Excel skills: lookups, pivot tables, and reconciliations.
• Knowledge of invoice processing, vendor payments, billing, payment application, and collections.
• Ability to work remotely from Mexico, Monday to Friday, 8:00 a.m. to 5:00 p.m. U.S. Central Time.
• Ability to work as an independent contractor and issue CFDI invoices (RFC).
• Experience with U.S. companies and U.S. accounting practices (ACH, W-9, 1099).
• Experience with Bill.com, Ramp, Sage, or NetSuite.
• Construction industry or progress billing experience.
• Degree or studies in Accounting or Finance.

Preferred Qualifications

• Experience with U.S. companies or U.S. accounting (ACH, 1099s, sales tax).
• Experience with tools such as Bill.com, Ramp, Sage, NetSuite, or similar.
• Construction billing experience: progress billing, retainage, lien waivers.
