Overview

This role supports a fast-growing open source software organization focused on simplifying code and improving developer tools. The team is expanding globally and building finance infrastructure to match. The Accounts Payable (AP) function is high-volume and requires strong ownership to keep payments accurate and timely across multiple currencies and entities.

Responsibilities

Full-Cycle Accounts Payable Operations:

  • Manage end-to-end invoice processing including intake, GL coding, PO matching, approval routing, and payment execution via ACH, wire, check, and international wire transfers
  • Review and reconcile vendor statements monthly, resolving discrepancies, duplicate payments, and open credits promptly
  • Schedule and execute payment runs ensuring proper authorization and documentation
  • Prepare and file 1099 forms, maintain W-9 and TIN documentation, and respond to IRS notices
  • Process invoices for multiple legal entities and currencies, applying correct intercompany treatments
  • Support prepaid schedule tracking and AP accrual entries during month-end close

Vendor Management:

  • Onboard new vendors by collecting W-9s, banking info, and setting up vendor records
  • Maintain and audit vendor master data for accuracy and duplicates
  • Serve as primary contact for vendor payment inquiries and escalate issues as needed
  • Manage AP inbox to ensure timely processing of invoices and correspondence

Travel & Expense (T&E) and Expense Management:

  • Administer employee expense reimbursements, ensuring policy compliance and accurate coding
  • Manage corporate card program including issuance, monitoring, and reconciliation
  • Identify and propose improvements to expense policies and processes
  • Prepare monthly T&E reports and variance analyses for department heads and finance leadership

Month-End Close:

  • Prepare and post AP accrual journal entries
  • Reconcile AP subledger to general ledger and resolve variances
  • Review aged payables and unapplied credits, resolving items before aging beyond 60 days
  • Support annual audit by preparing AP schedules, vendor reconciliations, and payment documentation

Required Qualifications

  • Minimum 3 years of full-cycle accounts payable experience, preferably in a high-growth tech environment
  • Proven ability to manage high invoice volumes accurately and meet deadlines
  • Experience with AP automation platforms such as Bill.com, Tipalti, Airbase, or similar
  • Experience administering T&E or expense platforms like Navan, Concur, Expensify, including policy enforcement
  • Familiarity with modern cloud ERP systems (e.g., Rillet, NetSuite, Sage Intacct) and AP to GL processes
  • Strong skills in Excel and Google Sheets for reconciliations, pivot tables, and aging analysis
  • Working knowledge of 1099-NEC/MISC reporting, W-9 collection, TIN matching, and sales/use tax basics
  • Ability to enforce expense policies clearly and professionally
  • Effective communication skills across Finance, HR, Legal, and vendor stakeholders
  • High attention to detail and ownership mentality
  • Experience with procure-to-pay or spend management platforms such as Zip, Coupa, Airbase, or Ramp

Preferred Qualifications

  • Experience managing multi-entity and multi-currency AP transactions including intercompany and FX coding
  • Prior involvement supporting financial statement audits with preparation of AP schedules and reconciliations

Compensation & Benefits

  • Salary range: $100,000 - $150,000 annually, depending on experience and location

Location

This is a globally distributed role. Occasional travel may be required for company events and team offsites.
