Overview
This role involves owning the end-to-end accounting close and helping shape financial systems as the organization scales. Responsibilities include running monthly close, maintaining daily/weekly bookkeeping in QuickBooks Online (QBO), supporting revenue recognition, managing AP and expense workflows, and partnering cross-functionally to provide timely financial insights.
Responsibilities
- Run full monthly close, including accruals, prepaids, journal entries, balance sheet reconciliations, and review packages
- Maintain daily/weekly bookkeeping in QuickBooks Online (QBO), including bank feeds, coding, and reconciliations
- Handle revenue recognition (RevRec) by updating/running the monthly Excel model and ensuring accurate revenue timing and classifications
- Manage AP & expense workflow: receive bills, import into QBO, and create/match to payments
- Perform expense & class allocations across defined QBO classes (per departmental structure) to support accurate ROI tracking at the executive level
- Conduct variance analysis by reviewing vendors month over month and explaining unusual changes (e.g., annual vs. monthly contracts)
- Prepare for audits and due diligence by producing clean financial packages, supporting schedules, and serving as a point of contact for auditing
- Onboard and manage relationship with a CPA firm: help onboard the new CPA firm, bring them up to speed on books, systems, and history, and own ongoing relationship as main point of contact
- Lead cash-to-accrual projects, including accounting cleanups and system improvements to strengthen reporting accuracy
- Perform historical financial cleanup by resolving legacy inconsistencies and ensuring transactions are properly coded and reconciled
- Support special projects, including ad-hoc analysis, process optimization, and data cleanup related to company initiatives
- Collaborate cross-functionally with Operations, Finance, and the CEO to provide timely insights and financial clarity
- Maintain lightweight SOPs and contribute to department process documentation
- Serve as internal QBO expert and main accounting contact for integrations (e.g., Maxio), and as a liaison with external accounting partners
Requirements
- 5+ years of accounting experience, including full-cycle month-end close and reconciliations
- Strong GAAP accounting knowledge, including accruals, prepaids, deferred revenue, and variance analysis
- Extensive QuickBooks Online experience (QuickBooks certification is a plus)
- Undergraduate degree in Accounting, Finance, or related field from a US institution
- Excel power-user skills, including VLOOKUP, SUMIF, Pivot Tables, and complex formulas (BI/workbook experience a plus)
- U.S. C-Corp accounting context, including familiarity with 1099/W-9 workflows, audit prep, and compliance
- Analytical and curious mindset—understands the “why” behind accounting entries
- Strong communication skills, including ability to explain accounting logic to non-finance teammates
- Autonomy and self-starter capability to work independently and meet deadlines in a remote setup
- Extreme attention to detail and ownership over financial accuracy
Preferred Qualifications
- CPA (GAAP-focused) preferred (tax CPA not required)
- QuickBooks Online certification
- Experience with SaaS or subscription-based businesses
- Experience cleaning up historical financials and preparing for due diligence
- Familiarity with Maxio/Chargify
- Comfort using ClickUp for task tracking
- Experience working alongside an external CPA firm or auditors, including being day-to-day point of contact and handing over clean supporting schedules
