Overview
This role supports day-to-day indirect tax operations. The position focuses primarily on U.S. sales and use tax and other indirect taxes, including ensuring transaction data flows correctly between internal systems and the tax engine, maintaining product taxability accuracy, managing exemption certificates, preparing returns, and supporting audits.
The ideal candidate enjoys solving problems, pays close attention to detail, and wants to grow within a developing global tax function.
Responsibilities
Sales and Use Tax Operations (Primary Focus)
- Taxability and tax engine configuration: Maintain the product taxability matrix and product/service tax codes in the tax engine. Update taxability and codes based on agreed decisions with the Principal, Tax when new products, services, or bundles launch, or when state tax treatment changes—especially for SaaS and digital goods.
- Data integrity: Reconcile transaction data flowing from the ERP, billing system, and e-commerce platform into the tax engine. Investigate integration errors, miscoded transactions, and missing data; resolve or escalate issues before a return is filed.
- Nexus and registrations: Monitor economic and physical nexus thresholds by state. Register or deregister as the organization’s footprint changes, and keep the tax engine’s jurisdiction settings aligned with filing obligations.
- Exemption certificates: Serve as the day-to-day contact for the third-party provider that reviews exemption certificates, and verify certificates are reflected correctly in the tax engine.
Returns, Reconciliations, and Audits
- Return review and reconciliation: Help prepare and file sales and use tax returns. Prior to filing, compare calculated liabilities to the general ledger and flag unusual swings or unexpected jurisdiction activity. After filing, reconcile remitted amounts to tax payable accounts monthly and resolve variances.
- Amended returns and refunds: Gather information to support amended return preparation and refund claims.
- Audits: Support state and local tax audits by gathering documentation, preparing schedules, and responding to auditor requests.
Non-U.S. and Other Indirect Taxes
- Non-U.S. indirect tax compliance: Support non-U.S. indirect tax compliance, such as GST for Australia, New Zealand, and Canada.
- Other indirect taxes: Help set up and run processes for other indirect taxes, such as property tax and withholding tax on vendor payments.
- Global indirect tax projects: Support global indirect tax projects as needed.
Across the Tax Function
- Process improvement: Identify opportunities to automate and streamline tax processes and help implement improvements.
- Documentation: Keep tax records, workpapers, and process documentation organized and audit-ready.
- Collaboration: Partner with Finance, Accounting, Sales Operations, IT, and Legal to support accurate and compliant tax outcomes.
- Direct tax support: Support U.S. direct tax work as assigned, such as gathering data and preparing workpapers for income tax returns and estimated payments.
Key Performance Indicators
- Filing support: Assigned indirect tax returns prepared or reviewed accurately and on time, with few corrections needed.
- Monthly reconciliations: Tax payable reconciliations completed by the close deadline, with variances researched and explained.
- Tax engine upkeep: Taxability and tax code updates made quickly once approved; transaction errors spotted and raised before returns are filed.
- Exemption certificates: Regular spot-checks of the provider’s work, with issues tracked through to resolution.
- Audit support: Auditor requests for data and documentation answered completely and by the deadlines set by the manager.
- Documentation: Workpapers and process notes kept organized, current, and easy for others to follow.
- Growth: Gradually handle more tasks without close supervision, such as owning a new process or project, within the first 6–12 months.
- Direct tax support: Assigned direct tax support tasks finished accurately and on time.
