Overview

This role involves full-cycle Job Cost Bookkeeper/Accountant responsibilities for an organization seeking a conscientious, diligent, thorough, detail-oriented professional. The position is full time and may be performed remotely and/or in the company’s San Diego, California office.

The position focuses on accounting functions including Accounts Receivable (A/R), payroll, timecards, bank reconciliations, credit card reconciliations, expense reports, and monthly close of books.

Responsibilities

  • Invoice generation and tracking: Create and distribute invoices to customers and track invoice status.
  • Payment recording: Record payments received from customers and apply payments to the appropriate invoices.
  • Reconciliation: Reconcile A/R records with bank statements and other financial data.
  • A/R aging reports: Analyze A/R data to identify outstanding invoices and assess risk of non-payment.
  • Collections: Follow up with customers on overdue invoices and implement collection procedures.
  • QuickBooks management and data entry: Manage QuickBooks and complete data entry for banking transactions, accounts payable, credit card transactions; sync timecards through HTS into QuickBooks and verify timecard accuracy with management; complete reconciliations.
  • Employee setup and timekeeping updates: Set up new employees and update current employees in T-Sheets for job codes; coordinate with the Office Admin to verify employee information for both the accounting system and timekeeping system.
  • Contract invoice processing: Prepare invoices for various contracts, submit them to customers on time, and maintain accurate A/R tracking and aging reports.
  • Payroll processing and job costing: Process payroll and reconcile to timecards and books with proper job costing of labor and expenses.
  • Expense report review: Review expense reports for per diem and perform math verification; verify employee time corresponds to travel.
  • Spend plan and monthly status reporting support: Assist with spend plans and monthly status reports using financial inputs from customers and reconcile to billing.
  • Bi-monthly payroll accuracy workflow: Process payroll twice a month by importing timesheet information into QuickBooks.
  • Timesheet discrepancy management: Identify and resolve timesheet discrepancies promptly; collaborate with the Director of Operations to address unresolved items to ensure accuracy and completeness.
  • Timesheet system maintenance: Add and remove associates in the timesheet system and assign appropriate charge codes.
  • PTO tracking: Track and maintain accurate and complete PTO balances.
  • Per diem and expense accuracy checks: Process expense reports and verify per diems for accuracy.
  • Charge correctness assurance: Ensure contract associates working direct on contracts are charging time correctly.
  • 401k actions: Process 401k retirement system actions by payroll date.
  • Contract performance monitoring: Monitor contract performance, track deliverables (e.g., spend plans, MSRs), and prepare contract status reports.
  • Contract recordkeeping: Maintain accurate contract records and documentation in accordance with company policies and government regulations.

Requirements

  • Proficiency in QuickBooks and Excel.
  • Minimum five years of professional bookkeeping/accounting experience.
  • Experience with Microsoft Office 365 Suite, especially Teams and SharePoint, and also Outlook and Word.

Preferred Qualifications

  • BA/BS degree in Accounting, Finance, or related field (plus), or equivalent workplace experience acceptable.
  • Knowledge and experience with federal government contracts, including the FAR, government accounting, and job costing.
  • Experience with both CPFF and T&M accounting.
