Overview
This is a hands-on reconciliation and collections role within the organization’s Billing & Collections team. You will ensure that every incoming payment is matched against what the customer was actually invoiced. The work is detailed, largely spreadsheet-based, and accuracy matters.
Responsibilities
- Reconcile customer payments against invoices across the full customer base, from SMB to Enterprise accounts.
- Match every incoming payment to the amount the customer was actually invoiced and close the loop between payment received and invoice issued.
- Investigate every unmatched, partial, or unexpected item to identify root cause.
- Track what each customer owes, confirm the debt has been paid, and follow up until each item is fully resolved, including items that remain open past month-end.
- Own accounts end to end to ensure reconciliations are clean, correct, and complete (not just started).
- Maintain clear, well-documented working papers so others can understand how balances were reached.
Working Across the Systems
- Perform the majority of the work in Excel (pivot tables, lookups, and large data sets).
- Pull and cross-check data across multiple systems where data may be broken, incomplete, or inconsistent.
- Verify discrepancies instead of assuming—when two numbers don’t agree, investigate and resolve.
- Drive discrepancies to a clean, correct outcome.
Communication & Responsiveness
- Respond to internal stakeholders who rely on your work across Billing, Finance, Operations, and Customer Success.
- Coordinate across the team using Slack, monday.com, and email; participate in customer calls when it’s the fastest way to resolve an issue.
- Explain billing and reconciliation issues in clear, plain language to people who aren’t in finance, including customers.
Making the Work Smarter (Over Time)
- Identify manual, repetitive steps that should be improved.
- Use AI tools (including Claude) to speed up reconciliation and reduce manual effort over time. Prior automation experience is not required.
Requirements
- 2+ years of experience in reconciliation, collections, billing, or accounts receivable — ideally in fintech, SaaS, or eCommerce.
- Demonstrated ownership mindset: takes responsibility for accounts and does not consider items resolved until they are genuinely closed.
- Persistence to stay on unpaid or unreconciled items until closed, including well after month-end.
- Strong Excel skills, including pivot tables, VLOOKUP/XLOOKUP, SUMIFS, and work with large data sets.
- Critical eye for data: comfortable working across multiple systems with broken or inconsistent data and instinctively verifying rather than assuming.
- Strong attention to detail and ability to spot when two numbers don’t agree and drive discrepancies to zero.
- Responsive and easy to work with: comfortable fielding requests across Slack, monday.com, email, and occasional customer calls.
- Clear communication: able to explain reconciliation or billing issues simply to people who aren’t in finance, including customers.
- Interest in doing the work smarter using AI tools (Claude included). Prior automation experience is not required.
- Native or near-native English with clear, professional written and verbal communication.
- Comfortable working with customers of all sizes, from SMB to Enterprise.
- Familiarity with chargebacks, payment disputes, or PSP data (advantage).
